Lycopodium is seeking an Administration Lead to join our expanding Projects Services team in Yamfo, Ahafo North.

The Administration Lead will offer strategic office support to the Project Services Department and its staff, reporting to the Site Manager, to ensure the daily smooth operation of the Department on the Ahafo North Project Site in accordance with Company, Client, and industry regulations.

The jobs you’ll be doing

  • Provides administrative and leadership assistance to all other administrative officers within a specific role, as well as multi-tasking while switching between administrative responsibilities.
  • Provide specialized advice in certain areas of expertise.
  • Supervise, lead, and coordinate administration team duties.
  • Collaborate with individuals from all business areas.
  • Maintains an appointment schedule for designated personnel or departments.
  • Assist the Office Service department with the processing of papers and documents in accordance with project specifications.
  • Ensure that the designated office equipment is well-maintained and secure. In order to fix or repair equipment, contact and arrange with vendors. May go over vendor contracts for service and look into new vendor products.
  • Coordinate air reservations, cost comparisons, scheduling possibilities, hotel reservations, and vehicle rental reservations. Creates travel itineraries in accordance with timetables. Verify travel expense allocations and fix any irregularities. Assists assigned staff with the completion and filing of expense forms.
  • Show your capacity to work independently and effectively with colleagues from all business areas.

  • Capability to coach subordinates.
  • Create and manage departmental filing and tracking systems.
  • Establishing files for all written/email correspondence, project work, and reports is included.
  • Coordinates the storage of old files off-site.
  • As assigned, provides further assistance through copying and mailing.
  • Keep an eye on regular office supplies and order them as needed. Invoices for supply orders are processed.
  • Handle other duties as assigned by the department.
  • Knowledge of, or capacity to quickly learn, knowledge of the allocated department’s tasks and functions, as well as any explicitly related laws or rules.
