ROLE: Procurement And Inventory Assistant

Position Description

This position’s holder is responsible for aiding the Procurement and Inventory Officer in supplying and handling all procurement and inventory activities to ensure the Company’s effective and efficient operations.

DUTIES AND RESPONSIBILITIES

  • Receiving of imported items and local purchases into inventory.
  • Creating waybills for commodities that have been shipped from inventory.
  • Providing up-to-date inventory data for purchase decisions
  • Physical inventories are taken on a regular basis.
  • Verifies clerical computations against physical stock count and corrects computation errors.
  • Supervising the work of support employees.
  • Orders are documented and quotes are requested as soon as they are received.
  • Upon receipt of an Item Requisition Note, things are issued to the workshop for projects.
  • As needed, prepare inventory balance and shortage reports.
    Plans and prioritizes purchasing actions in collaboration with stakeholders.
    Planned orders are reviewed, requisitions for purchased items are created, and the clearance procedure is managed.
  • Sends approved purchase orders and associated documentation to the supplier, prioritizing them.
  • Tracks order acknowledgment, generates and communicates shortfall and backlog data, and alerts internal customers to potential disruptions.
  • Orders are tracked and system lead times, delivery dates, and costs are confirmed.
  • Conduct value-for-money audits on supplier prices at least once a quarter to ensure the company is getting the best prices possible.
  • Purchase orders are reviewed, updated, and maintained until they are closed.
  • Ensures that orders are in accordance with supplier agreements and contracts, and reports nonconformance.
  • Resolves reception and invoicing inconsistencies in collaboration with other stakeholders.
  • Identifies and implements possibilities to improve efficiency.
    Any other responsibilities that may be allocated.

RESPONSIBILITIES

  • All TAGG OHS&E procedures must be understood and followed.
  • All safe work procedures, rules, and directions must be followed.
  • Risk Evaluation
  • Identifying and reporting hazards
  • Knowledge of the proper use of all tools and equipment as needed

Required Qualifications or Experience

EDUCATION AND EXPERIENCE REQUIREMENTS

  • HND, BSc, or BA in Electrical/Electronic Engineering, Supply Chain,
  • Procurement/Purchasing, or Social Science is required. Previous experience in the same or a similar role is preferred.

KNOWLEDGE, SKILLS, AND ABILITY

  • Familiarity with procurement methods, policies, and procedures
  • Excellent time management and organizational skills with a strong emphasis on accuracy and detail
  • Proactive and deadline-oriented.
  • Basic mathematical understanding
  • Communication Abilities
  • Critical Thinking Skills Proficient in Microsoft Office programs such as Excel
  • IT abilities
