IPA Ghana Calls For Job Applications
IPA Ghana is looking for a Human Resources Associate to help with the implementation and administration of Human Resource policies and procedures in the Ghana country office. The HR Associate will report to the Associate Operations Manager and will be in charge of activities such as recruitment, onboarding, offboarding, employment contract renewals, performance evaluation, compliance and employee documentation, timesheet administration, HRIS management, and benefits administration.
Position Summary
The Human Resources Associate will report to the Associate Operations Manager and will be responsible for the following duties:
- Recruitment and Selection: Coordination of employee and consultant recruitment and selection.
- Onboarding: Oversee the onboarding and induction of all new employees. Collaborate with the IPA Talent Team and recruiting managers to ensure that new hires have a positive onboarding experience.
- Personnel record management includes overseeing the personnel database and assuring the frequent updating of employee records, as well as the proper storage of employee and consultant documentation.
- Contracting: Work with country office management to extend and renew staff contracts.
- Collaborate with the research quality team and the project teams to make the preparation and management of field enumerator contracts easier.
- Employee performance management entails coordinating probationary evaluations, annual performance reviews, and yearly performance planning.
- Timesheet system management: Oversee the system for local employees in terms of timesheets and time off updates.
- Oversee training and development activities in collaboration with department heads, projects, and research quality teams. Support the IPA’s commitment to respecting and investing in staff professional development.
- Employee engagement activities: oversee employee morale and well-being initiatives.
- Oversee the benefits enrollment process, keep accurate records of employee benefits, ensure compliance with applicable rules and regulations, keep accurate records of employee benefits, update information as needed, and oversee yearly reviews and renewals.
- Workmen’s compensation insurance: Oversee the enrollment of qualified field enumerators in workmen’s compensation insurance, ensuring compliance with relevant policies and regulations.
- Legal and regulatory compliance entails keeping up with important laws and regulations, as well as adhering to local laws, rules, and employee handbooks.
- Administrative support: Assist the operations department and Country Director with administrative responsibilities such as organizing schedules, coordinating meetings and retreats, handling correspondence, and aiding with general administrative work.
- Collaborate with the Associate Operations Manager to develop and improve HR systems, tools, and policies.
Required Qualifications or Experience
- A bachelor’s degree in Human Resource Management, Business Administration, or a closely related discipline is required.
- At least two years of experience in a comparable role
- Excellent interpersonal skills and the ability to collaborate effectively in a varied team
- Communication abilities, both oral and written
- General understanding of Ghana labor laws
- Capable of maintaining a high level of confidentiality
- High level of familiarity with using technology to support work
- Excellent problem-solving and analytical skills
- Demonstrated ability to prioritize assignments, operate under pressure, and achieve deadlines, often with little supervision
- Excellent management, communication, and organizational abilities, as well as the ability to work independently.
- Previous experience in a similar job at an international NGO is preferred.
