POSITION: Administrative Manager

A Brief Description of the Position
This is a supervisory role that is in charge of managing the site office administration and operations system as well as general workflows, as well as providing daily operational assistance such as procurement, inventory monitoring, asset management, vendor management, and general facilities management. In addition, this function provides procurement and logistics support to certain nations implementing the PQM+ program. This position interfaces with various departments as well as external stakeholders. Travel may be required as part of the job.

- The goal of the role should provide a high-level summary of why the post exists and quickly outline the position’s most essential priorities. This is an opportunity to highlight any aspects or duties of the post that are directly relevant to the Department’s work on Diversity, Equity, Inclusion, and Belonging.
- Planning and organizing administrative procedures and systems, as well as developing methods to streamline processes. Office activities such as meetings, conferences, interviews, orientations, and training sessions must be planned, scheduled, organized, and promoted. Maintain a contact database to facilitate effective communication with other parties. (20%)
- Coordination of in-country legal registration renewals to guarantee compliance with applicable rules. (10%)
- Manage procurement for USP Ghana and donor-funded initiatives such as PQM+, ensuring compliance with USP SOPs as well as donor norms and regulations where appropriate to ensure value for money and transparency in procurement procedures. Management of vendors and contracts (35%).
- Logistics management, including shipping coordination, for USP Ghana, the PQM+ initiative, and other donor-funded activities. (20%)
- General facilities management (5%) includes monitoring facility services, maintenance activities, and so on.
- Support the human resource function by managing staff recruitment operations, onboarding new hires, and maintaining a local database and personnel records. Furthermore, the candidate will be expected to organize Ghana staff training and professional development initiatives, as well as to coordinate the renewal of staff benefit programs and to administrate benefit programs for new recruits. (10%)

- BSc/BA in business administration or a closely related discipline
- 5 years of relevant professional experience
