Position Summary:

  • The Store Officer is responsible for keeping correct records, monitoring stock levels, and assuring timely distribution of items that support patient care and hospital operations.
  • This position includes keeping accurate inventory records, monitoring stock levels, fulfilling requisition requests, and assuring adherence to regulatory norms and quality standards.
  • This position reports to the Stock Controller.

Responsibilities

Performance

  • Accept, inspect, and verify deliveries of lab diagnostic materials, medical supplies, and stationery to ensure accuracy and quality.
  • Keep accurate inventory records using either electronic inventory management systems or manual record-keeping methods.
  • Keep track of stock levels, reorder points, and expiration dates for products, and initiate procurement and replenishment orders as needed.
  • Organize and arrange inventory in specified storage sections of the Bulk Store, ensuring correct labelling, categorization, and storage conditions.
  • Use FIFO (first in, first out) and FEFO (first expired, first out) principles to reduce waste while maintaining the integrity and freshness of perishable commodities.
  • Complete requisition orders from various hospital departments, clinics, and units in a timely and correct way, with proper documentation and recording of transactions.
  • Conduct regular stock audits, cycle counts, and physical inventories to resolve inconsistencies, identify deviations, and ensure inventory accuracy.
  • Maintain compliance with storage standards, temperature controls, and safety protocols when storing and handling medications, medical equipment, and hazardous materials.
  • Work with the procurement specialist and vendors to streamline the procurement process, such as order placement, delivery schedules, and invoice reconciliation.

Quality assurance

  • Inspect for signs of damage, tampering, or contamination, and reject or quarantine objects that do not meet quality assurance standards.
  • Use correct inventory handling techniques, such as segregating incompatible materials, to avoid cross-contamination, degradation, or spoilage.
  • Regularly monitor the expiration dates and shelf life of pharmaceuticals, medical supplies, and stationery, and adopt rotation methods and disposal protocols to eliminate expired or obsolete products from inventory.
  • Implement recall procedures and communication protocols to ensure that recalled products are retrieved, replaced, or disposed of on time, reducing risks to patient safety and compliance with regulations.
  • Keep detailed records of inventory transactions, stock movements, and consumption patterns, and generate reports and summaries as directed by hospital administration and regulatory bodies.
  • Participate in emergency preparedness drills and training exercises to maintain inventory management readiness in the event of an emergency, disaster, or supply chain disruption.

Qualification & Experience

  • Higher National Diploma in Supply Chain Management, Finance, Business Administration, or a similar discipline.
  • Previous experience as a storekeeper, inventory clerk, or in a comparable function, preferably in healthcare or pharmaceuticals.
  • Understanding of inventory management principles, stock control methods, and regulatory requirements related to pharmaceuticals and medical supplies.
  • Experience using electronic inventory management systems, barcode scanning technologies, and computerized record-keeping software.
  • Excellent attention to detail, organizational abilities, and accuracy in data input and record-keeping.
  • Strong communication skills, teamwork ability, and a customer service mindset.
  • Capable of working independently with minimal supervision and prioritizing duties in a fast-paced setting.
