Job Title: Project Coordinator

Key Responsibilities:
- Prepare monthly invoices to clients in accordance with contract criteria and keep an invoice tracker.
- Liaise with the client on any clarifications, questions, or requests for information to ensure that all invoices are paid promptly.
- Working with the Account Manager to manage and update the contract billing matrix to reflect any changes.
- Preparation of customer monthly reports, including but not limited to work value, spending forecasts, commitments, and annual budgets.
- Prepare and submit call-offs to the client as requested, and manage the call-off register.
- Prepare internal monthly revenue accruals, as well as annual revenue forecasts and budgets, upon request from finance.
- Ensure that the contract’s internal cost reporting fulfils Petrofac accounting and commercial department requirements.
- Track recovery against costs as requested and engage with finance and payroll to handle any connected difficulties in a timely way.
- Help the project team by giving continuous and regular updates on invoicing status, expenditures, commitments, and forecasts.
- Proactively advise and help project teams on contractual and commercial aspects of the contracts.
- Check the accuracy of Third Party Invoices against subcontract agreements and approve them as a compliance checker as necessary. As applicable, invoice the customer.
- Ensure that labour and third-party reconciliation are completed on a monthly or quarterly basis.
- Identify where contract adjustments may be required to cover contract changes to Account Manager, and assist with their drafting and submittal.
- Coordinate with IJV partners’ commercial divisions.
- Create rate and billing schedules as needed.
ESSENTIAL QUALIFICATIONS AND SKILLS
- Experience preparing and submitting labour/time invoices, with a business, surveying, or financial certification.
- Experience with ERP systems and contract administration is beneficial.
