Finance & Administrative Officer at ACET

Job Summary: 

The main goal of this job is to help the Finance department with its finances and routine tasks in an effective and efficient way.

Roles and Responsibilities

The Finance and Administrative Officer in particular:-

  • Prepares and processes payment vouchers (PVs) as needed and according to ACET’s rules and procedures,
  • Makes sure that the files in the Finance area are always up to date,
  • Keeps ACET’s Consultant files up to date and makes sure they have all the information they need.
  • Compares the amount paid to consultants to the terms of their contracts and reports any differences.
  • Posts transactions into the accounting system and checks the ledger on a regular basis to make sure it is correct according to ACET/accounting standards.
  • Writes and registers checks to sellers and sends notifications to banks as needed.
  • Takes in bills and checks them over before payments are made.
  • Review and handle all travel and other cost reimbursements.
  • Makes sure that all ACET bank accounts are balanced by the 10th of the following month.
  • Helps inspectors with their work during the World Bank’s and other donors’ annual audits and other reviews.
  • Serves as the point of contact for ACET when it comes to fees that are required by law. Communicates with SSNIT, Ghana Revenue Authority, second tier, and provident Fund Administrators
  • Serves as the “client connection” for projects backed by the World Bank.
  • Does a wide range of secretarial work for the unit.
  • Backs up the person at the front desk.
  • Any other tasks that may be given from time to time to help ACET reach its goals in the areas of finance and administration.

The Skilled Person’s Education and/or Experience

  • Bachelor’s degree in accounting, business administration, finance, or a similar area.
  • At least two years of experience in accounting, finances, and administrative help.

Knowledge, Skills, Abilities 

  • Experience with budgeting or keeping books
  • Knowledge of financial systems, such as accounting systems and budgeting control
  • Strong organizing skills.
  • Both written and spoken speaking skills are very good.
  • Being able to work well under stress and meet goals.
  • Must be well-organized and able to handle multiple jobs at once when necessary.
  • Ability to work on your own and as part of a group.
