ROLE: Bid & Contracts Executive

Job Summary 

  • The person who gets the job will join the AT Business Department as an Executive for Bids and Contracts.
  • He or she will work for the Customer Experience, Marketing, and Operations Manager.
  • He or she will be in charge of AT Business and customer contract administration and will report to that person.
  • The Bid and Contracts Executive works with the legal team to make sure that the preparation of proposals, the negotiation process, and the management of contracts all follow AT’s policies and meet the requirements of the legal department.
  • The person who gets the job will also be in charge of finding opportunities for bids and managing them, as well as doing research and coming up with key points to include in the bid.
  • (S)he will be in charge of writing detailed and convincing proposals, assessing risks, and addressing client and AT Business concerns.

Key Responsibilities

  • Create standard sales templates for managing the bid process, bid documents, and CASOFs based on benchmark best-in-class examples.
  • Come to an agreement with the EBU sales governance teams about how to bid/not bid and sign off on bids.
  • Analyze the relevant requests for proposals (RFP), tender documents, etc., to fully understand and lead each bid’s requirements.
  • Lead bid teams from relevant parts of the business to make proposals that meet requirements.
  • Work with account partners and sales engineers to come up with the right offers.
  • Make sure that each bid follows internal rules and meets all of the customer’s requirements.
  • Plan the delivery schedules for materials, services, and stakeholders for all bids and RFPs.
  • Read and understand contract and bid documents and attend a monthly meeting on site to talk about bids.
  • Make sure that the final bid documents are sent to customers in a way that follows RFP, etc.
  • Make sure that all KPIs, SLAs, deadlines, and conditions listed in bid and contract documents are met by comparing performance to agreed-upon targets and enforcing them.
  • Keep good working relationships with customers and both internal and external suppliers.
  • Look at possible risks, keep up with changes in the law, and keep organized records of contracts.
  • Keep physical and digital records of business documents and contracts in an organized system or database.
  • Make language standards and drafts for existing and new contracts, and work with the legal department to sign all legal contracts with customers outside the company.
  • Approve all contracts for mobile phones every day in the provisioning system.
  • Serve as the enterprise point of contact for all quality checks for AT Business.
  • Give information about performance to help management make decisions.

Needed Qualifications and Experience

  • A bachelor’s degree or professional certification in business studies or something similar.
  • Proven experience working as a contract and bid administrator or in a similar job.
  • Be able to work with people of different levels of seniority, such as staff, managers, and outside partners.
  • Three to five years of experience in the Business Solutions environment for telecommunications.
  • Know how to use the MS Office Suite, which includes Word, Excel, and Power Point.
  • Candidates with experience in the telecom/IT industry will be a plus.
  • You have to be able to write well, pay close attention to details, and be able to spot mistakes.
  • Good at figuring out what to do and how to do it.

ESSENTIAL SKILLS

  • Help reach sales goals, make a profit, and make sure customers are happy.
  • Able to read and understand drawings that are technical or have to do with telecom.
  • Being aware of the legal requirements for contracts.
  • Able to run multiple projects as a leader, work in matrix teams, and get good results.
  • Expertise in creating and putting into place standard bid procedures in a Business Solutions market.
  • Be able to show “thought leadership” across the business and with customers.
  • Be able to work as part of a virtual team for pre-sale operations, motivating others to reach goals while adapting to changing priorities and business needs and fitting them into long-term plans and strategies.
  • Can plan and carry out actions to take advantage of business opportunities.
  • Able to understand what colleagues need and use communication and persuasion skills to get things done in a matrix environment.
  • Able to make presentation slides and talk to senior management in a clear way.
  • The highest level of professionalism.
  • Take responsibility for customer RFP and internal governance and make sure they are met.
