JOB SUMMARY

The Logistics Officer works directly for the Country Director or Head of Office. The person in this position is in charge of helping with logistics and overseeing the overall logistics processes to help the company reach its goals. He or she is in charge of making plans, keeping an eye on, managing, and coordinating logistics support operations to make sure projects run smoothly.

The person in charge also takes care of the Stores, Fixed Assets, Administrative Support, Fleet Management, and Rehabilitation Projects. As needed, the person in charge works closely with the Country Director/Program Manager/Director, the Finance Manager/Officer, and the Project Officers.

PRIMARY RESPONSIBILITIES

Logistics and the management of the supply chain: (50%)

  • Works with all groups to make sure that programs are carried out on time.
  • Finds out what goods or tools need to be restocked, bought, or given out.
  • Makes sure that sources are properly checked out when needed.
  • Works closely with his or her team and sellers to get the materials needed, paying special attention to keeping costs down, making sure the materials are good, and getting them on time.
  • Manages contracts by making sure they are renewed, paid, etc.
  • It tells the CD how to set up the procurement groups and set up meetings to make decisions about purchases.
  • Works with the appropriate government ministries, customs officials, and other departments to get imported goods cleared.
  • Makes sure that all Supply Chain processes have the right paperwork.
  • The person in charge of sending in the monthly Fleet Analysis.
  • Makes sure the building is managed well. This includes storage room, the state of the stock, and how it is stored.
  • Prepares the right forms for getting project and maintenance supplies and making sure they are approved by the right RTP staff, working with the Finance Manager/Officer.
  • In charge of managing and keeping an eye on asset management and keeping the asset list up to date as needed.
  • Keeps track of all RTP office leases.
  • Oversees all office buildings and the utilities that go with them. Brings up facility and repair needs and works with service providers to make sure they are met.
  • Follow the organization’s rules about money, behavior, and ethics.

Taking care of things:

  • Firstly, Makes sure that buy orders are filled correctly so that they can be tracked and documented correctly for an audit.
  • Secondly, Makes sure that the right logistics filling systems are in place, including all tools, manuals, and maintenance schedules.
  • Moreover, Follows up on all orders for supplies that come from the field, using a record sheet to find out how requests for supplies from the field are going.
  • Additionally, Manages the transportation of all staff in the country, making sure to coordinate as needed with colleagues, partners, and transportation companies.
  • Then, Takes part in monthly progress meetings with staff and makes sure that what was agreed upon is done.
  • Lastly, Helps plan projects with the people who need to know about them.

Management of the rehabilitation project:

  • Manages all technical and scheduling parts of the project and works with other team members to make sure the project is done well and efficiently.
  • Works with RTP’s hired analysts and experts to make sure the project is done right and on time.
  • Follows up on how the rehabilitation work is being done and gives the Program Manager/Country Director regular information.
  • Follows up with contractors about the quality of their work, the date of delivery, payment, and the end of the job.
  • Ten percent: safety and security.
  • Manages the RTP Security Staff and makes sure that the security team is as skilled as it can be.
  • Makes sure that strict safety rules are followed for all RTP activities, including, but not limited to, transportation (such as motorbike and vehicle policy) and activities that take place away from the RTP site.
  • Takes part in keeping an eye on the security situation and putting in place security steps based on RTP security guidelines when something looks suspicious.
    attends all security talks held by I/NGOs in the country.
  • If necessary, works with the Country Director to plan the departure of teams on the ground.

Team Management:

  • Helps the country-based staff do their jobs better by giving them regular trainings on logistics-related topics.
  • Talks to coworkers often and in the right way, especially those who work closely with you and report to you.
  • Do the job review of the team that reports to them

Skills or Experience Needed

  • Bachelor’s degree in management, logistics, administration, or a similar field.
  • At least 3 years of experience in logistics and/or purchasing on a national or foreign level.
  • Excellent people skills and both writing and spoken communication skills.
  • Ability to work on your own.
  • Ability to work well under pressure and with a tight schedule.
  • Honesty and a focus on the details.
  • Very good at doing study and negotiating.
  • Manage a group of people and give comments.

SKILLS IN TECHNOLOGY

  • Ability to use Microsoft programs well, such as Excel and Word
  • Learn about how quality control works
  • Ability to use automated methods for buying things.
  • Understanding of vehicle management
  • Skilled at keeping records and writing things down.
  • Good knowledge of how to keep things safe and secure.
