Job Description

The Operations Manager will be in charge of managing the project’s day-to-day logistics. The Operations Team makes sure that the Advancing Partnerships for Improved Learning project in Ghana is well managed, supervised, and put into action.

RESPONSIBILITIES

CONTRACTING

Develop/review the scope of work and budget for the contractor
Send in contract requests and the forms and checks that go with them to make sure the procurement policy is being followed.
Track the progress of the contract throughout the workflow. Take steps to work with Human Resources
Check the accuracy of the final contracts

PURCHASE ORDERS & INVOICING

Send in invoices and keep track of them using the invoice approval workflow.
Fix any problems with invoices, receipts, and the balance.
Find solutions to problems and delays in the approval process and involve key stakeholders to make sure processing is done quickly.
Make sure that the Opportunity procurement policy is followed in the letter.

ONBOARDING & EXIT PROCEDURES

Bring new members of the team into the team.
Also, Supervise the allocation of equipment and/or the purchase of new equipment, working with the IT Manager on specifications and set-up and submitting IT set-up request forms.
In addition, Coordinate with the line manager the procedures for staff leaving, such as the handover and tracking of assets, office equipment, IT coordination, etc.

STAFF LOGISTICS AND OPERATIONS

Research and buy from vendors under your supervision.
Then, Keep a log of your vendors that is up-to-date and correct.
Afterward, Serve as the main point of contact for office administration in Ghana. This includes setting up new accounts, managing monthly invoices, and dealing with other administrative issues.

STAFF OPERATIONAL LOGISTICS

Help with recruiting by writing job descriptions, looking over applications, and interviewing candidates with Human Resources.
In collaboration with the Operations Associate, help plan events.
Maintaining the global Cloud Filing Scheme (Box.com) will help it get better.
Help the Operations Director make sure the Travel Policy is followed and that it is being watched.

SUPERVISORY RESPONSIBILITY

Associate of Operations.

QUALIFICATIONS

At least three years of experience working in Operations or in an administrative role in a fast-paced environment.
There must be at least one year of management experience.
Or an equivalent to a high school diploma.
Strong communication skills both in writing and in person.
Great care for the details.
Strong evidence that you know how to solve problems.
Ability to work on your own in a fast-paced organization that values getting things done.
Active and ready to come up with new ideas and think outside the box.
Ability to work on multiple projects at once and put tasks in order of how important they are to the business.
Self-driven and dependable, taking full responsibility for work and making sure it gets done.
High level of digital knowledge and willingness to learn new ways to collect digital data.
Strong skills for building relationships and comfort working with a wide range of people, including senior management.
A deep and lasting passion for Opportunity International’s mission and its commitment to economic, spiritual, and social change.

LANGUAGE SKILLS

English must be spoken and written fluently, and one or two other local languages are preferred. Must be able to attend and fully take part in English-language meetings.

PROJECT BACKGROUND

The activity was made because the Ghanaian government has agreed to work toward the Global Goals for Education. The 5-year project will give school owners, teachers, communities, financial organizations, professional networks, and the Government of Ghana (GoG) the chance to improve how well students learn and how low-cost private schools can pay for themselves. The activity is focused on a few low-cost private schools in the Zone of Influence (ZOI) of the USAID Global Food Security Strategy (GFSS) in northern Ghana.
