Job Title: Administrative Coordinator

  • To assist with Process Maintenance section administration.
  • Aiding department goals.


  • Communicate, coordinate, plan, and organize for the Processing Department, Process Maintenance, Contractors, and Consultants.
  • Set timelines, priorities, and get approvals for finished tasks.
  • For efficient administration, manage and coordinate:
    • staffing.
    • call screening.
    • mail.
    • menus.
    • departures.
    • IT request catalogs.
    • SAP purchase/warehouse requests.
    • expenses.
    • car checklist.
    • accessibility.
    • stationary.
    • office management.
    • Process Department shift schedule.
  • Maintain Management, Professional, Operator, and Maintainer shift and leave rosters.
  • Help department personnel by publishing messages on electronic and physical boards.
  • Stock stationery/inventory and restock as needed to manage the department’s office supplies and facilities.
  • Manage office supplies and inventory.
  • Track costs and notify the Process Maintenance Superintendent of any discrepancies.
  • Manage and submit daily and weekly employee timesheets to HR.
  • Manage the PPE data tracker.
  • To reduce abuse and expenditures, determine employee needs and offer restricted PPE.
  • Manage department worker and contractor business travel, lodging, and transit needs.
  • Manage department documentation.
  • Handle critical and time-sensitive information discreetly.
  • Team and Processing Management meetings.
  • Meeting outcomes should be tracked.
  • Schedule and document safety inspections/meetings.
  • Record, distribute, and file Department meeting minutes.
  • Maintain contract and warehouse requisitions.
  • Following processes, coordinate and track requisitions.
  • Confirm requisition with Supply Chain Management.
  • Reconcile all Department consumables and pay any corresponding invoices.
  • Manage Departmental projects like the Health Walk Program.

  • Maintain Departmental systems for quick document retrieval.
  • Maintain departmental systems (SAP, Nomadis, Cintillate) and notify the Process Maintenance Superintendent of any issues.
  • Keep Processing and Pre-Shift Meeting (PSM) areas clean.

Health, Safety and Environment

  • At month-end, prepare Processing Team safety KPIs and send to Health and Safety.
  • Support Processing Risk Register management.
  • Comply with Newmont’s Integrated Management System’s HSLP, Environment, and Social Responsibility criteria.
  • Take personal responsibility for the health and safety of all subordinates.
  • Arrange safety meetings.

Reporting and Filing

  • Help department personnel without email access by distributing information and messages.
  • Maintain employee noticeboard.
  • Maintain massive filing systems to quickly retrieve personal and administrative papers, plant log sheets, checklists, reports, permits, and minutes.
  • Department compliance reports are due.

Stakeholder Interaction

  • Schedule meetings, training, and yearly medical recalls with service providers.
  • Communicate with Payroll about employee pay questions and provide fast responses.
  • Coordinate with Site Services and Newco to ensure timely maintenance, services, meals, and transport.
  • Manage all Business Partner and Department visiting permission approvals.
  • Check employee personal data forms with HR.
  • Reconcile, process, and pay petty cash advance requests, contractor invoices, and expense claims with Finance.

Scheduling and Assignment

  • Self-schedule to achieve job goals.
  • Training, Skills, and Experience Checklist


  • High National Diploma in Office Management/Secretarial/Administration or equivalent field.

Technical Skills

  • Communication and interpersonal abilities.
  • Microsoft Office proficiency (Word, Excel, PowerPoint, and Outlook).
  • System administration expertise.
  • Plan, organize, and prioritize well.
  • Business-level English.
  • Coordination.
  • Persistence.
  • Good database administration.
  • Monitor and manage information well.


  • Minimum 3–5 years experience in a Personal Assistant/Office Administration role with administrative and office support experience.
