POSITION: Office Assistant (Premises Management)

The Regional Office for Africa (RAF) is in charge of guiding FAO’s response to regional priorities in food security, agriculture, and rural development by identifying, planning, and implementing FAO priority activities in the region. It assures a multidisciplinary approach to programs, defines priority areas of action for the Organization in the region, and, in partnership with headquarters centers/divisions/offices, develops, promotes, and oversees FAO’s strategy in response to regional objectives.

RAF also advises on the incorporation of regional priorities into the Organization’s Work Programme and Budget, as well as the implementation of authorized regional programmes and projects, evaluates program implementation levels, and brings attention to faults and shortcomings. RAF establishes and maintains relationships with regional institutions, especially Regional Economic Integration Organizations (REIOs).

The Regional Office promotes regional policy discourse on food security, agriculture, and rural development issues, enables the formation of regional partnerships, and helps to create capacity and mobilize resources for food security, agriculture, and rural development in the region.

The role is in the RAF’s Administrative Support Unit in Accra, Ghana.

Reporting Lines

The Office Assistant (Premises Management) reports to the RAF Admin Officer a.i. and is part of the General Administration Group’s Premises Management Team.

Technical Focus

Monitoring of maintenance and other services provided by service providers, as well as the keeping of a repair and maintenance diary. Maintaining a local inventory database of stationery and office supplies, monitoring store stock levels, registering receipt and issuance of supplies in the supply database, and tracking records for inconsistencies.

Tasks and Responsibilities

  • The incumbent will work under the functional leadership of the Head of the Premises Management Team.
  • Ensure that the lighting fixtures, plumbing, grounds, etc. are properly maintained. daily examine the office premises, log and report results for corrective actions to be implemented;
  • Monitor maintenance and other activities performed on the premises by service providers; conduct frequent site inspections to ensure adherence to authorized plans and specifications; report deviations identified;
  • Keep a record (log) of repairs and upkeep.
  • Act as the guardian of stationery and office products received in the stores.
  • Maintain a local inventory database of stationery and office supplies at the stores: record the receipt and issuing of goods from the stores in the Supplies Database as soon as they are issued.
  • Perform a physical count of all stationery and office products held in the store to confirm the accuracy of the database records; document and report any differences discovered;
  • Maintain proper stock levels of stationery and office goods in stores and submit purchase requisitions on time to replace stockpiles.
  • Verify that bills submitted for payment by service providers are for work actually delivered; ensure that the specifications and amounts billed correspond to the order made and received.
  • Collect monthly bills from premises service providers (electricians, plumbers, etc.), compile them, and submit for payment.
  • Draft correspondence relevant to duties as needed and submit to supervisor for review.
  • Perform any other duties that are required.

Minimum requirements

  • Secondary school education.
  • 5 years of increasingly responsible work experience in administration, accounting, and inventory management.
  • Working knowledge of English.
  • National of Ghana.

Technical/functional skills

  • Extent and relevance of experience with store database management
  • The extent and usefulness of experience in stocktaking

Selection Criteria:

  • A university degree will be advantageous. Requirements for this position include computer literacy, attention to detail, customer service orientation, and strong communication and interpersonal skills.
