POSITION: Admin and Travel Coordinator
Job Description
The successful candidate will join the Supply Chain Department as an Admin and Travel Coordinator, reporting to the Fleet Manager and overseeing all areas of the firm’s travel needs in accordance with company policies and procedures by enforcing compliance and budgeting adherence.
Principal Responsibilities
- Travel reservations include, but are not limited to, arranging travel for all HQ requests.
- Assist in the resolution of staff travel difficulties, such as troubleshooting unplanned delays.
- Look for possibilities to improve the travel process and make suggestions.
- Hotel reservations require prepayment of all room and tax charges.
- Confirm the cheapest logical hotel reservation.
- Monthly travel and hotel expenses must be reported.
- Assist AT in negotiating travel service provider contracts and ensuring compliance.
- Assist in the management of Travel Management partners’ recruitment, onboarding, and administration.
- Make service enhancement recommendations and initiate process, procedure, and policy modifications.
- Manage external visitors to the office, including the preparation of meeting rooms and videoconferencing services.
- Examine travel claims and accompanying documents for completeness, accuracy, validity, and adherence to approval and budgetary guidelines.
- Coordinate with the finance unit on travel reimbursement and timely assessment of travel claims and supporting documentation for completeness, accuracy, legality, and compliance with AT rules before approval.
- Coordinate with the finance unit on trip reimbursement and timely partner payments.
- Ensure administrative service excellence for customer service and stakeholder satisfaction.
OTHER RESPONSIBILITIES
- Within the Admin Function, you may be entrusted with coordinating support services.

Qualifications and Experience Required
ACADEMIC EXPERIENCE
- A university degree in Management, Social Sciences, or a related field
- A minimum of three years experience in the travel industry.
- Excellent written and oral English.
- Knowledge of Microsoft Office applications such as Word, Excel, and Outlook.
- Travel willingness and ability.
