ROLE: Director of Finance and Operations

Job Purpose

The DFO assists the Country Manager/Director in running the country office. The DFO oversees all of the organization’s programs to ensure staff can complete project tasks efficiently. Also, The DFO provides iDE Ghana program directors with a framework to achieve results and reduce risks.

The DFO is expected to work with all Directors (People & Culture Director, Sama SamaMD, MERL Director, etc.) on the Senior Management Team (SMT) to find creative solutions to project issues like the ones below.

  • Reports directly to the Ghana Country Manager or Country Director.
  • As a member of the Senior Management Team, the DFO works closely with the Directors of the Water, Sanitation, and Hygiene (WASH), Monitoring, Evaluation, Research, and Learning, People and Culture, and Agricultural Program Teams.
  • The Senior Accountant and the Procurement & Operations Manager are two people who report directly to the CEO. The Country Manager or Director is in charge of making changes to direct reports. The Country Manager/Director will also decide if there will be any more direct reports.
  • The DFO will ask the HCF for a report on how well the deliverables in the work plan are being met.
  • In a matrix reporting arrangement, this job also answers to the iDE HQ Vice President of Finance (VP).To make sure goals are met, the DFO needs to talk to and work with the Regional Finance leader on a regular basis. The iDE Country Manager/Director will do the annual performance review of the DFO with help from the VP of Finance at iDE HQ.

ROLES AND DUTIES

Finance & Accounting

  • Oversee all accounting systems and make sure accurate donor financial reports are sent out for all iDE Ghana projects in line with donor guidelines.
  • As needed, give team members the coaching help they need to meet the deadlines and deliverables for finance and operations.
  • Do periodic internal audits and reviews of financial and internal control systems to find weaknesses that need to be fixed right away so that all iDE Ghana projects and social enterprises are in line with financial standards, donor rules, and best practices.
  • Work closely with the Social Enterprise Head of Finance (Agric & WASH) and HQ Finance to write off debts from defaulting customers that can’t be paid back every year.
  • Develop, plan, and help with the transitions of all of iDE Ghana’s and its social enterprises’ financial systems for all of their projects.

Budgeting and Financial Reporting

  • Lead the process of making the annual budget for all iDE Ghana programs.
  • Monitor project cash flows and spending plans, and make sure that iDE Ghana’s unrestricted funds are managed well.
  • Prepare monthly financial project reports and check to see if goals have been met.
  • Evaluate financial and internal control systems, looking for problems and finding ways to fix them or make improvements as needed.

Procurement & Logistics

  • Make sure that the daily operations and logistics of the country office are well coordinated.
  • Make sure that purchases are made in accordance with the budget, policies, and guidelines that have already been set up, as well as donor requirements, to promote and justify value for money.
  • Oversee the management of all office facilities, such as vehicles, motorbikes, repairs, office rents, working tools, equipment, furniture, etc.

Operations

  • Help set up and run iDE Ghana social enterprises by giving financial and operational support and putting in place integrated programming for WASH, Agriculture, Nutrition, and all related interventions.
  • Then, Make sure that annual legal and regulatory documents are filed, make sure that relevant legal requirements are met, and help the iDE Ghana board of directors do their jobs.
  • Also, Give the iDE Ghana team help with business development.
  • Lastly, Help the Sama Sama Finance team with technical issues and how to manage performance.

Regulation

  • Work with the Country Manager/Director, Program Directors, and teams from the HQ office to make sure that project goals are met. This is done by helping to create proposal budgets, work plans, budget vs. actual reports, the annual program budget, and other financial reviews as needed.
  • Together with the P&C department, make, review, or change policies and procedures based on the approvals and authority matrix to make sure they are up-to-date and in line with local laws. These policies and procedures should also support and enforce iDE’s risk management.
  • Lead the alignment and standardization of financial policies for the whole of iDE Ghana.
  • Any other jobs that the CM/CD and VP Global Finance give them

Required Qualifications

  • Get a master’s degree in finance, business administration, or a related field from a well-known university.
  • Preferred is at least 6 years of work experience in an International NGO or Social Enterprise.
  • At least 6 years of full-time work experience in a senior management position leading: business, finance, operations, budget planning, project management, and work plan development.
  • Experienced in setting up processes that work well and are followed every day to create a framework for putting projects into action.
  • Team leadership and being a good boss are important.
  • Experience with reporting to donors and working with different groups.
