ROLE: Head of Finance and Administration

As Practice Head of Finance and Administration, you’ll work with the leadership team to create and carry out the business’s strategic plans for all things related to finance and administration. You will also review, prepare, and consolidate the annual forecast and outlooks. You will also do variance analysis and financial reporting on revenue, expenses, and profitability.

You’ll also help manage and keep track of the inventory. As the leader of Practice Finance, you will work closely with the associate leaders and associates for Financial Management. You will be the organization’s and the managing partner’s main source of financial advice and business advice. In this job, you’ll mostly work on your own without much direct supervision.

Responsibilities

You will be responsible for the following:

  • The team in charge of finances and administration
  • Lead and coach the finance and administration team to create a culture of continuous improvement, accountability, and professional development.
  • Help team members improve their skills and abilities by giving them advice and support.
  • Making sure that financial reports and rules are followed, such as:
  • Supervise the preparation and presentation of accurate and timely financial reports, such as income statements, balance sheets, and cash flow statements.
  • Making sure that relevant accounting standards, regulations, and internal policies are followed.
  • Making sure the organization follows all tax, financial reporting, and other rules that affect its financial reporting needs.
  • Coordinating and managing the annual audit of financial statements and relationships with external auditors to make sure audited financial statements are made and filed on time
  • Keeping up with changes in financial rules and best practices in the industry and making sure the organization follows these changing rules.

Management of operations

  • Work with the leadership team to create and implement financial strategies that are in line with the growth goals of the organization.
  • Oversee and coordinate the process of budgeting, tracking actual performance against the budget, making variance reports, and putting corrective action plans into action. Prepare, review, and combine a sub-service line’s annual budgets and projections.
  • Take care of the day-to-day financial operations, such as accounting, billing, collections, and financial transactions, and make sure that financial data and records are accurate and complete.
  • Check the profit and loss (P&L) close at the end of each month.
  • Oversee the organization’s accounting and reporting tasks that happen every day.
  • Supervise the implementation of risk management strategies to protect the company’s financial assets and lessen the effects of any possible risks. Credit risk, market risk, and liquidity risk are all financial risks that need to be evaluated and managed.
  • Watch over the payment process, including payroll, and make sure all expenses are well-supported and properly approved.

Other Responsibilities

  • Help drive the organization’s most important projects that change processes or procedures.
  • Make ad hoc reports to help track the practice’s key performance measures
  • Keep employee morale high by encouraging teamwork and building strong relationships with clients both inside and outside the company.
  • Create and use best practices for making things better.
  • Help put together and analyze secret information
  • Serve as the main point of contact for customer service staff to solve problems or issues with assigned practices.

Knowledge and Skills

  • Previous experience managing the whole finance department, including the process of closing the financial statements, making sure taxes are paid, and auditing the financial statements every year.
  • Ability to figure out why actual results are different from budget and last year, and to explain these differences clearly.
  • skilled at using business knowledge to make recommendations and suggest ways to improve or change financial results.
  • Confident in finding differences or situations with a material threshold and bringing them to the attention of leaders.
  • Good ability to solve difficult financial and analytical problems
  • Ability to make budgets that are accurate
  • As business needs change, be able to make and present accurate statements or pro-forma analyses.
  • Know how professional services firms make money and record it, measure how they use their resources and how productive they are, and figure out the exact value of unbilled client receivables.
  • Excellent skills with software, including Microsoft Excel, Word, Access, PowerPoint, Internet Explorer, and Lotus Notes.
  • Strong skills in leading, presenting, and solving problems
  • Used to the change that comes with frequent business reorganizations
  • Skilled at working on multiple projects at once and setting the right priorities
  • Ability to earn respect from both the financial world and teams that work with clients

Experience

  • More than 6 years of experience running a finance and administration department.
  • At least three years of experience in a supervisory, budgeting, forecasting, financial management, financial analyst, or financial assistant role is preferred.
  • Experience in a business or finance role in a professional services setting is very helpful.

Education

  • Bachelor’s degree in finance, accounting, or a related field
  • Certification in accounting, such as ICA or ACCA, is a good idea.
  • Having a professional tax qualification, like CIT, will be a plus.
