JOB SUMMARY PRIMARY RESPONSIBILITIES

The Project Officer works directly for the Program Director (PD) and is in charge of running the project well and letting internal and external contacts know how it went as needed.

FIRST AND FOREMOST DUTIES:

Job Duty #1: Project Management (45% of the Time):

  • Helps come up with the project strategies that go into the general strategic plan for the country.
  • From the operational plan, prepares and leads the plan for how project actions will be carried out.
  • Helps Field Facilitators figure out how to do the tasks at each project site.
  • Makes sure that all actions follow the RTP method and standards.
  • Watches over community events like Play Days to spread information about things that are important to them.
  • Helps protect workers and partners learn about and understand our project management cycle.
  • Gathers the reports from the Field Facilitators and gives PM monthly action reports.
  • Makes weekly budget plans and keeps track of spending.
  • Takes part in budget planning and keeps track of how activity costs compare to cash projections.
  • Gets project tools (with the help of the Logistics Officer or Assistant, if needed) within the limits set by the In-Field Authorization Levels policy.
  • Upgrades to facilities are planned based on what the project site needs.
  • Sets up storage and delivery of sports tools to schools that are part of the program.
  • Works with other NGOs and CBOs to make sure they can attend partner events.
  • Reports to the PM on the security situation at the project site.
  • Follows up on logistics problems at the project site and makes sure that all assets, such as project vehicles, are well taken care of.

Job Duty #2: Managing the team (20% of the time):

  • Performs performance reviews on all direct reports and gives regular comments on how well they are doing.
  • Keeps an eye on the work of any hired workers, like security guards, if necessary.
  • Makes sure that the staff knows and follows RTP’s policies.
  • Uses feedback from project staff, partners, and stakeholders to figure out what training all direct reports need.
  • Oversees how Field Facilitators teach coaches and watches how coaches do in order to certify them.
  • Follows the processes that are already in place to protect the health, welfare, and safety of the project staff as much as possible.

#3: It’s your job to… (15%): Networking, Representation, and Partnerships.

  • Shares ideas for activities with local NGOs and CBOs (community-based organizations) and looks for ways to work together and synergies.
  • Keeps working relationships with the Ministry of Foreign Affairs, the Ministry of Education, and other Ministries and partners on a good track.
  • Makes sure that deals and Memorandums of Understanding (MOUs) with the local government, UN agencies, and partner organizations are carried out.
  • Helps organizations, the government, and other important institutions work together and connect with each other to improve the RTP’s visibility and project activities.
  • Plans to talk with partners and speak for RTP in different places.
  • Allows Athlete Supporters to take part in project activities and events.
  • Do an assessment survey to find NGOs that RTP could work with, and start working with them.
  • Makes sure that partners follow the RTP Code of Conduct and the policy for protecting children.

#4: Keeping an eye on things and giving reports (15%):

  • Visits project sites to keep an eye on activities and events and to gather information to report on how well the project is doing.
  • Works with school directors and teachers to help them learn how to use RTP’s tracking and evaluation system to report on how many kids and teachers are taking part in sports and play activities.
  • Makes sure that quantitative and qualitative monitoring information is collected correctly and sent on time according to RTP tracking tools.
  • Reports are sent regularly to the PM and sometimes to external parties like Ministries, partners, and donors.
  • Provides quarterly updates to the project team, clients, and PM about lessons learned and the best ways to do things.

Skills or Experience Needed

EDUCATION, TRAINING, AND CERTIFICATION:

  • Bachelor’s degree in Business Administration, Management, Social Sciences, or a similar field.

EXPERIENCE:

Three years of project management or community work experience, including managing direct reports, and at least two years of experience working with partners in the Education field.

SKILLS AND PERSONAL ATTRIBUTES:

  • Excellent people skills and both written and spoken speaking skills.
  • Self-starter who can work with little help from others.
  • Strong skills in organizing and giving tasks to others.
  • able to meet goals and put things in the right order.
  • Strong skills for building up people and teams.
  • Skill at keeping things in order.

SKILLS IN TECHNOLOGY

  • Learn how to use Outlook, MS Word, PowerPoint, Excel, and the Internet on a computer.
  • Learn how the project management cycle works.
  • Skill at making reports and being able to analyze them.

DESIRED QUALIFICATIONS (An Asset)

  • Child and/or adult schooling that is based on knowledge
  • Understanding of sports for development
  • Learn how to make and manage funds.

LANGUAGES:

English and the local tongue can be spoken and written with ease.(s).
