Amplio Ghana is a non-governmental organization in Ghana that has been duly registered with the Registrar General Department and the Ministry of Gender, Children, and Social Protection. The organization has been around since 2007 and previously went by the name Literacy Bridge Ghana until 2020. We are Amplio Network’s country office in the United States, with offices in Washington and Tamale.
We specialize in developing and implementing social and behavioural change interventions for vulnerable groups in rural and difficult-to-reach regions (the last mile). Our goal is to empower the world’s most vulnerable communities through knowledge exchange. We also work with government, non-governmental, and civil society organizations to increase the effectiveness of their communication initiatives using the Amplio Talking Book digital solution. We have reached over 1 million Ghanaians through our social and behaviour change programs.
Job Description.
Reporting to the Finance and Administration Manager
ABOUT THE POSITION
We are looking for a dynamic and capable individual to serve as key support to the Finance and Administrative Manager (FAM) in maintaining solid financial accounting and management systems and practices and ensuring the judicious administration of Amplio Ghana and donor monies. You would be part of a close-knit team that values learning, respect, accountability, transparency, and collaboration.
RESPONSIBILITIES
Administrative
- Carry out administrative functions for the Wa or Tamale offices, such as supervising the cleaner and coordinating logistical and travel preparations to ensure the office runs smoothly.
- Ensure that all financial and operational management policies and procedures are rigorously followed.
- Maintain a consistent file system and keep track of all administrative papers, including the registration of all internal and external correspondence and record updates.
- Manage office supplies by keeping accurate records and periodically checking stock levels to guarantee a timely supply.
- Monitor the use of office materials to prevent waste.
- Maintain a current filing system for all Amplio Ghana employees and correspondence.
- Communicate schedules for staff team meetings, including Monday morning meetings, and collect and file minutes.
- Ensure that staff in the Wa/Tamale office follow Amplio Ghana’s reporting and closing dates.
- Facilitate the approval of staff leave and keep all approved leave on file.
- Maintain a record for all visitors to the Wa/Tamale office and assist with their formal engagements.
- Attend Amplio-level team meetings.
- Request monthly bank statements for all Amplio Ghana bank accounts and do monthly financial reconciliation in QuickBooks.
- Use the FAM-created Excel template to prepare monthly BvA reports.
- Assist with staff salary formulation and payment, including statutory payments (SSNIT, GRA, etc.).
- Manage petty cash and monitor the minimal threshold level on a regular basis to guarantee cash replenishment occurs on schedule.
- Ensure that the safe is always adequately secured to prevent the theft of items and cash.
- Help manage assets and inventory.
- Complete any other finance or accounting tasks prescribed by your supervisor.
Required Skill or Experience
Qualifications, Skills, and Experience.
- A minimum of an HND in accounting, finance, business, or a related discipline.
- At least two (2) years of post-national service in financial administration positions.
- Candidates who have worked in an NGO will have an edge.
- Proven familiarity with QuickBooks accounting software.
- Ability to work with a variety of Microsoft Office apps.
- High levels of integrity and confidentiality.
- Excellent communication abilities, both verbal and written.
- Excellent managerial and organisational skills.
Compensation is commensurate with experience.
HOURS AND LOCATIONS
This role will be based in Wa or Tamale, together with the majority of our staff. Remote employment may be viable if your working hours are mainly consistent with Seattle’s and allow for infrequent calls to our partners in Africa and Asia.
