POSITION: HR Shared Services Specialist
Position Overview
In this role, you will take full responsibility for delivering high-quality HR services, including payroll management, to all employees throughout their employment journey.
Key Responsibilities
HR Reporting
- Generate standardized monthly, quarterly, and annual reports on workforce metrics for the region.
- Oversee people analytics and manage the HR dashboard, producing regular updates on Full-Time Equivalents (FTEs) and HR Key Performance Indicators (KPIs).
Employee Data Management
- Serve as the primary contact for all HR documentation and provide essential data for decision-making, regulatory compliance, and legal matters.
- Maintain custody of HR policies, processes, and legal documents.
- Administer all HR processes related to the employee lifecycle (promotions, transfers, exits, etc.) while ensuring adherence to HR policies.
Payroll Processing
- Provide timely information for monthly payroll processing and other necessary data for salary and benefits administration.
- Ensure efficient processing of monthly payroll and compliance with statutory remittances.
- Lead payroll projects and process improvement initiatives.
- Address employee inquiries and resolve payroll-related concerns promptly.
Learning Administration
- Organize logistics for training programs, including venue selection and delivery planning.
- Oversee material preparation, classroom setup, registration, participant queries, and attendance tracking.
- Gather feedback from participants and instructors on executed learning programs.
- Analyze and disseminate feedback to inform the overall learning strategy.
Agency/Vendor Management
- Monitor monthly agency/outsourced headcount and costs to stay within budget.
- Provide necessary data related to agency and outsourced headcount as required.
- Maintain accurate records of agency data and related expenses.
Employee Benefits Administration
- Ensure smooth administration of employee benefits, including fuel, health, communication (phone credits), etc.
- Implement wellness programs regionally to promote awareness of mental and physical health.
- Manage relationships with government regulators, such as the Ministry of Employment & Labour Relations.
Absence Management
- Keep precise records of all employee absences (annual leave, casual leave, compassionate leave, etc.) throughout the year and provide regular reports.
Change Management
- Assist in the execution of change management programs and initiatives across the region.
Requirements
- Bachelor’s degree or equivalent in a related field.
- At least 5 years of experience in the Human Resources sector.
- Strong analytical abilities.
- Effective presentation and communication skills.
- Proficient in relationship building and stakeholder management.
