POSITION: Finance and Procurement Assistant

Mothers2Mothers (m2m) is an African Primary Health Care organisation that hires HIV-positive women as community health workers in ten African countries. These “Mentor Mothers” provide integrated health services in clinics and communities, ensuring that everyone, everywhere, has access to the services they require to keep healthy and in care.

Over the next five years, this proven, peer-led strategy will be expanded up to focus on eradicating HIV while also addressing new health concerns and reaching more people—all with the goal of creating a fairer, healthier future. The employment of local women as community health workers means that we are delivering a model that prioritizes healthcare for families in most need, given by women who know them best.

Since its inception in 2001, m2m has employed approximately 12,000 HIV-positive women in Sub-Saharan Africa, and they have collectively provided crucial health services and education to over 15 million people. In 2021, m2m reached over 1.6 million people across ten African countries, including 402,616 adolescents (aged 10 to 19), a 51% increase over the previous year. m2m also made progress toward the Global Goals of ending HIV/AIDS by 2030 by virtually eliminating mother-to-child HIV transmission among its enrolled clients for the eighth consecutive year and meeting all the ambitious UNAIDS Fast-Track Targets among its clients four years ahead of the 2026 target date. Job Summary

The Finance and Procurement Assistant corrects, processes, and reconciles a wide range of accounting documents, including invoices, employee reimbursements, cash receipts, petty cash, vendor statements, and journal vouchers; reviews and codes financial information; prepares and processes disbursement documents; makes deposits; compiles and reviews information for accuracy; and keeps records. The Finance and Procurement Assistant reports directly to the Ghana Country Finance and Administration Officer (FAO) and works directly with the Team. The position is based in Accra.

Key Performance Areas:

Coordinating the procurement and buying functions.

  • Manage and organize all procurement and planning.
  • Source invoices for purchases
  • Support procurement committees
  • Manage Purchase Requisition and Travel Requisition databases
  • Create purchase orders in Navigator Accounting for FAO approval
  • Ensure all procurement documentation is complete for payment.
  • Prepare payment vouchers and set up payments on the banking system, including preparing checks for vendors and workers.
  • Provide clerical support by entering all invoices into the accounting system and assigning them against purchase orders.
  • Manage payment queries from suppliers.
  • Assist with monitoring and updating supplier information, as well as doing background and terrorist/debarment checks.
  • Monthly, report any bills received without a purchase order or accompanying documentation.
  • To ensure that monthly payment reports are generated for the cash flow analysis
  • Manage staff and vendor accounts. Create and maintain a process for staff travel and program advancement.
  • Responsibilities include processing travel requisitions and related staff advances, entering expenses into the accounting system (reimbursements and/or advance liquidations), making timely payments to suppliers within 30 days of invoice receipt, and running creditor reports and vendor reconciliation for the Ghana office.

Administrative, procurement, logistical, and human resource support

  • Update insurance assets and maintain filing systems for finance, procurement, and other areas.
  • Manage document printing, photocopying, scanning, and binding. • Plan travel and events, including accommodations, training sites, and transportation.
  • Support the FAO in managing site crew timesheets.
  • Manage office support services, including travel, purchases, logistics, and hospitality for visitors.
  • Help with asset management by updating asset registers, tracking transfers, labelling new assets, and assisting with asset disposal.
  • Receive, log, and check all source documentation submitted to finance for processing.
  • Manage financial documentation filing system.
  • Oversee the archive of all financial data.
  • Close month-end and year-end activities, including budgeting and reporting.
  • Assist the FAO in closing the month-end on time, preparing monthly payroll and prepayment journals for Ghana Office, assisting CL and FAO in monthly cash requests, and monitoring the Ghana Office operational budget as Adaptive.
  • Review petty cash, purchase requisitions, and invoices presented by Ghana Office before approval.
  • Provide clerical help to the FAO in preparing and consolidating documentation for Financial Reports throughout the portfolio of nations.

Qualifications & Experience

  • Accounting with a corresponding diploma/degree in procurement.
  • At least 3 years of related job experience.
  • Proficiency in computerized accounting, spreadsheets, and word processing programs.
  • Experience in procurement planning.
  • Strong interpersonal skills and ability to handle several projects and priorities.
  • Organized, systematic, and detail-oriented.
  • Demonstrates integrity, professionalism, and transparency.
  • English proficiency required.
