POSITION: Operations and Finance Manager

Position Overview: 

Reporting to the Country Manager, the Operations and Finance Manager will oversee and assist all organizational systems and processes for HerStart in Ghana, encompassing financial performance procedures, human resources policies, financial reporting, cash flow management, and procurement. The position will facilitate the alignment of quality enhancement initiatives throughout all essential program function areas.

Duties

Operations Management: 

  • Facilitate coordination and assistance for all systems and processes within YCI Ghana, which involves overseeing policies, procedures, and procurement;
  • Ensure adherence to local NGO regulations and company registrations, including all necessary reporting in Ghana;
  •  Assist the Country Manager with YCI Ghana Human Resource responsibilities, such as managing country office contracts, conducting performance evaluations, onboarding, and hiring local personnel;
  • Co-manage the country’s health, safety, and security risk management plan to safeguard the well-being of staff, volunteers, partners, consultants, and participants;
  • Aid in planning for Canadian volunteer arrivals and placements, covering logistics for arrival and orientation, training, accommodation, visas, local transportation, etc.;
  • Carry out additional tasks as directed by the Country Manager.

Financial Management: 

  • Work with YCI Canada to guarantee effective financial and administrative oversight of the program and adherence to donor guidelines;
  • Create and present high-quality financial reports, oversee and track cash flows tied to project costs;
  • Direct the annual budgeting process within the country;
  • Cooperate with the Country Manager and other technical team leaders to ensure program initiatives are carried out per the project budget and work plan;
  • Spot risk areas and implement measures to mitigate vulnerabilities; and operate in line with accounting standards, procedures, and internal controls, ensuring compliance with national regulatory standards including yearly audits and tax submissions.

Technical Support and Instruction: 

  • Offer technical onboarding, training, and coaching to project personnel, volunteers, partners, and participants as necessary regarding processes, guidelines, and requirements for finance, operations, and human resources;
  • Assist the Country Manager with routine project management, aiding in project decision-making; and
  • Promote accountability and quality assurance through both formal and informal interactions with staff and partners.

Volunteer Oversight: 

  • Manage international volunteers in their professional outputs that further the objectives of HerStart and/or its partner organizations;
  • Offer guidance and mentorship to guarantee their active involvement and assimilation into the HerStart program.

Required Skills or Experience

  • You are a proactive individual with over 5 years of increasing leadership roles in finance, operations, procurement, and/or human resources, possessing a strong grasp of organizational accounting and financial operations.
  • You have shown experience in managing and supervising office operations while fulfilling all local registration rules and standards.
  • You possess the skill to clarify and mentor others on accounting and financial principles.
  • You are dedicated to maintaining high standards and excellence in your work and the programs you assist.
  • You possess a solid proficiency in Microsoft Excel and various accounting programs, exhibiting a keen analytical attention to detail.
  • You possess a solid comprehension of sustainable community development and the importance of volunteers; ideally, you have experience in assisting or collaborating with volunteers.
  • You possess strong communication skills and demonstrate exceptional proficiency in both written and spoken English; additionally, you are either a permanent resident or a citizen of Ghana.
