Job Summary
TBI is looking for a Team Assistant to join our busy Executive support team. You will work with one of our Executive Assistants, helping them support the Regional Directors in Africa and providing administrative support to the team. This is a great opportunity for someone already working as an Administrator or Personal Assistant who wants to grow in their career. Please note that this job is office-based in either Accra or Nairobi and is open to those who can work in Ghana or Kenya.
Key Responsibilities
- Diary Management: Organize appointments and schedule video calls across different time zones while keeping everything private.
- Meetings and Events: Set up meetings and events as instructed, including greeting guests, arranging logistics, catering, preparing agendas, sharing documents, tracking tasks, and taking meeting notes.
- Travel Support: Help arrange visas, flights, accommodations, and detailed travel plans.
- Email Management: Monitor mailboxes, draft replies, highlight urgent items and file emails.
- Correspondence Management: Organize incoming correspondence and prepare letters and emails.
- Expense Management: Handle monthly expense claims.
- General Support: Maintain files and databases, keep contact lists updated, track gifts and entertainment received, and assist the team as needed.
Person Specification
To be successful in this role, you should have:
- Previous experience as a Personal Assistant or in an administrative role.
- Great communication, time management, and organization skills.
- Good computer skills, including Microsoft Word, Excel, PowerPoint, and Outlook.
- Discretion, good judgment, and the ability to handle things sensitively.
- The ability to work well under pressure in a fast-paced environment.
- Knowledge of current events and politics is a plus.
- A positive attitude and willingness to collaborate with team members.
- Business-level English and good French language skills are required.
- You must have the right to work in Ghana or Kenya.
