Dimensions of the Role

  • No one will report to the person in this job.
  • The person in this job won’t be in charge of a specific budget, but they will be in charge of the budget indirectly through the tasks they are given.
  • The person in this job will show the outside partners how professional Plan is.
  • The person in this position will probably be asked to serve on different committees at the CO level.

Accountabilities

  • To make sure that the Country Director and Senior Leadership get the right amount of administrative and other help when they need it.
  • To set up the meetings of the Country Office Management Team (Preparation of the schedule, agenda, minutes, and the follow up of action points from meetings)
  • To make sure the Country Director’s Office has a good filing system for mail and other documents that come in and go out.
  • To make sure that the work schedules of the core management members, especially the CD, match the organization’s priorities.
  • To keep track of Plan International Ghana’s overall monthly schedule, which will help them make the most of their logistics.
  • To help the CO manage international visits and events at the national level that take place at the CO level.
  • Serving as a single point of contact for internal clients who want to meet with the Director.
  • Host guests and important business partners.
  • Organizing and booking meeting rooms and refreshments for Senior Leadership Team events both inside and outside the company.
  • Make plans for travel and meetings in other places.
  • Work with the Admin Team to plan and book the Country Director’s travel, including flights, hotels, visas, etc. Taking care of the CMT members’ travel plans and other schedules and dealing with their different priorities.
  • Screening phone calls, questions, and requests and taking care of them when necessary.
  • Take care of sensitive and private information in a professional way.
  • Set up, manage, and keep track of the Director’s busy schedule, making sure that appointments are set up and ready to go ahead of time.
  • Help the Country Director with writing, writing letters, and putting together presentations.
  • Putting together and printing reports for the Director.

Key relationships

  • A lot of contact with partners and visitors at the CO level
  • Moderate contact with outside employees (GH, WACA) while working with Plan International Ghana staff
  • Keep in touch with partners in a medium-sized way to help the management prepare letters, reports, and presentations.

Skills and Expertise

  • First degree in management studies, administration, or a related field, and at least three years of experience in a similar role.
  • Knowledge of administrative systems and procedures
  • Good computer skills and a deep understanding of relevant software, like MS Office suite.
  • Excellent spoken and written English skills
  • Very good at writing and editing.
