ROLE: Executive Assistant (General Secretary Office)
Key Responsibilities
- Plan, assess, and monitor the General Secretary’s office’s operations to ensure their effectiveness.
- Develop and implement foreign visitor programs.
- Support the GS by preparing reports from department heads and ensuring that actions from meetings are carried out on schedule to achieve the intended results.
- Creating financial statements, reports, memos, invoice letters, and other papers.
- Answering phones, diverting calls to the appropriate person, or taking messages.
- Performing basic bookkeeping duties.
- Filing and retrieving company records, documents, and reports.
- Conducting research and data analysis to generate documents for evaluation and presentation by boards of directors, committees, and executives.
- Helping to prepare for meetings.
- Meeting minutes should be recorded accurately.
- Greeting visitors and determining if they should be able to meet with executives.
- Using a variety of applications, including word processing, spreadsheets, databases, and presentation tools.
- Reading and analyzing incoming memos and submissions, then disseminating them as needed.
- Making travel plans for executives.
- Performing office chores such as procuring goods and administering a records database.
- Experience as a virtual assistant.
- Open, sort, and distribute incoming faxes, emails, and other correspondence.
- Offer general administrative help.
Required Skill or Experience
- A first degree in Business Administration – Human Resources Management, Social Sciences, or a similar field of study.
- Must have at least four years of post-national service employment experience in a similar job.
