At Abt Associates, a temporary Administrative Assistant is needed for the Resilience in Northern Ghana Systems Strengthening (RING II) project. This initiative improves stakeholders’ abilities to address low nutrition and resilience in northern Ghana. RING II Systems Strengthening will improve local service delivery throughout time, improving nutrition and resilience for 85,000 reproductive-aged women and children under five.
The temporary Administrative Assistant will report to the Bolgatanga Regional Coordinator in Ghana. A three-month contract is offered.
Core Responsibilities
- Assist in the planning and execution of logistics for project activities such as workshops, training, and meetings, as well as lodging and travel arrangements, including but not limited to contacting participants, negotiating and securing event space, and supervising the payment of per diem and snacks/meals.
- Provide trip logistics support to employees and partners, including transportation and lodging reservations.
- Assist with office management (cleanliness and order) and create and implement office support activities. Supervise cleaners and drivers.
- Ensure that items, materials, and office equipment are used and disposed of properly.
- Perform general clerical chores such as photocopying, scanning, faxing, filing, and mailing.
- Assist the Finance and Administration Director with procurement responsibilities such as generating requests for quotes, analyzing quotations or bids, creating buy requisitions and orders, and submitting procurement papers.
- Assists the Finance and Administration Director with updating the project inventory list.
- Control the stock of office supplies.
- Ensure that office bills are settled on time by alerting anticipated payment needs to the paying office, which can be either the location-specific accounting staff or the Tamale Head Office, depending on the threshold.
- Assist drivers and other district employees in completing timesheets and Advance and
- Travel Expense Reports. Act as the office’s timekeeper.
- Keep a record of all documents received.
What We Value
- Secondary school (minimum), a technical school diploma, or a bachelor’s degree in administration, management, business, social science, or another comparable discipline is preferred.
- Excellent knowledge and expertise with Windows, Word, Excel, PowerPoint, and other data processing and graphical presentation applications.
- The ability to plan and execute complicated activities autonomously while dealing with daily management issues and being organized and focused on long-term deadlines and strategy is highly desirable.
- Ability to evaluate problems and devise solutions.
- Excellent interpersonal communication and organizational abilities.
- Candidates with expertise working on USAID-funded projects or in other areas of international development are preferred.
