Job Title: Lot Manager

Job Purpose

The Lot Manager is a full-time management staff member who is in charge of managing all aspects of project planning and quality implementation, such as providing technical expertise, project finance, and budget compliance, supervising Advisors’ tasks and performance, monitoring, evaluating, and reporting, and building staff and partner capacity as needed.

The job entails encouraging and managing Advisors and facilitators, as well as monitoring ongoing projects to ensure that program plans and project activities are carried out efficiently and effectively.

The job necessitates the development and maintenance of strong working connections with key program stakeholders such as state collaborators, civil society partners, and relevant community structures. S/he is also expected to collaborate closely with the Director and to represent the organization in project-related external meetings and workshops.

Key Responsibilities / Functions

The Lot Manager’s primary tasks and functions are as follows:

Project Administration:

  • Prepare and present implementation plans and strategies for programs.
  • Provide technical assistance and oversight for the efficient and effective execution of project activities in compliance with work plans, budgets, and timeframes.
  • Manage the project team to guarantee the successful and timely execution of agreed-upon deliverables, plans, and strategies under the organization’s rules, procedures, and standards.
  • Assist the Director with program management duties such as resource allocation and ensuring adequate controls are maintained at all levels.
  • Ensure that program reports are submitted on time, under institutional and donor requirements.
  • MEL stands for Monitoring, Evaluation, and Learning.
  • Design essential technical monitoring and data gathering materials in collaboration with the MEL Team to ensure quality project implementation.
  • Monitor, evaluate, document, and report on the progress of project execution against indicators and targets on a regular basis, and establish corrective methods to improve project delivery.

Human Resource Administration:

  • Identify capacity requirements and, as needed, implement capacity-building and/or mentorship activities for project staff and/or collaborators.
  • To ensure optimal performance, facilitate team development and synergy among team members, and provide constructive feedback to the project team,.
  • Responsible for conducting annual advisor staff assessments.
  • Travel to project operational districts regularly to supervise project activities and give team support as needed.

Stakeholder Engagement and Networking:

  • SEND Ghana must be represented at regional and district coordination meetings, as well as in community and external relationships.
  • Contact and network with relevant district and national agencies and development partners.
  • Responsible for the capacity building of local stakeholders within districts with the assistance of other SEND Ghana Management Team members.

Financial Management:

  • Manage project budgeting and spending in compliance with Value for Money, funder and SEND requirements. Policies and Procedures for Finance and Administrative Management in Ghana
  • Maintain transparency and responsibility among project team members and donors.

General:

  • Perform any other duties that Management deems necessary in the best interests of the business.

Required Qualifications or Experience

Competencies

  • Excellent leadership and interpersonal interaction skills
  • Proven ability to work well with others and willingness to take on extra responsibilities as needed
  • Ability to organize, plan, and carry out activities within tight deadlines
  • Should have strong analytical, monitoring, evaluation, project management, and report-writing abilities.
  • Desire and ability to go to project sites
  • Excellent verbal and written communication skills, including written and spoken fluency in at least one SEND-specific language. The operational area of Ghana
  • Familiarity with and experience working with Ghanaian NGOs and CSOs
  • Self-starter who is self-assured, forceful, and at ease working with a high level of autonomy
  • Strong team player who can quickly establish and maintain effective working connections with people at all levels and from various backgrounds.
  • Proactive approach to problem identification and resolution
  • Excellent computer skills. Advanced knowledge of Microsoft Office (Word, Excel, and PowerPoint, for example).

​Education

  • A Master’s Degree in Education, Development Studies, Social Science, or a related field from a reputable university.
  • A bachelor’s degree in elementary education, social sciences, integrated development studies, or a similar discipline is required. A Master’s degree in the relevant discipline is a plus.

Experience

  • Work experience in the fields of Basic Education, Literacy, or Community Development for at least five (5) years.
  • Experience in implementing the Complementary Basic Education (CBE) program is a plus.
  • Experience facilitating active learning through Gender Sensitive Pedagogy, Learner Centered Methodology, and other participatory techniques.
  • Knowledge of Ghanaian culture and habits is advantageous.
  • Experience drafting donor reports
  • Proactive attitude: willingness and capacity to take initiative capacity to notice, analyze, and develop solutions to issues

Language Prerequisites

Fluency in spoken and written English, as well as at least one of the operational areas’ local languages (Dagbani, Likpakpaln, Twi, Nanumba).
