ROLE: Executive Assistant with Specialisation in Communication
About the Job:
To provide complete administrative and communications assistance to the Area West Africa office’s Managing Director, build effective connections with the Area leadership team and other stakeholders, and improve the organization’s overall efficiency. As a Communications Specialist, you will be proactive in both internal and external communications, demonstrating professionalism and innovation while contributing to the organization’s external brand and internal employee engagement.
Your responsibilities:
- Controls both internal and external communication.
- Administrative duties include composing and revising e-mails, drafting memoranda, and preparing messages on behalf of the executive and HR.
- Prepares and keeps detailed and accurate records, including meeting minutes
- Setting up meetings, sending out reminders, and arranging catering as necessary are all ways to organize them.
- Answers phone calls politely and professionally.
- Welcomes visitors and determines their purpose for visiting before directing them to the relevant department.
- Manages the executive’s calendar, which includes scheduling appointments, organizing travel arrangements, and prioritizing the most sensitive issues.
- Creates and implements a monthly communication plan that involves the generation of social media content.
- Content for newsletters and the website is researched and written.
- Acquires and maintains a thorough understanding of the company’s policies, beliefs, and plans, as well as staying current on pertinent developments
- Organises, plans and coordinates internal and external events, such as employee engagement activities.
- Follows the company’s style guide to ensure that we produce high-quality, error-free text.
- Collaborate with internal stakeholders (such as the MD, Sales, and HR) to generate content ideas that are consistent with the company’s strategy and support various initiatives.
Qualifications:
- A bachelor’s degree in public relations, international relations, journalism, business administration, or a related field is required.
- Proven experience in executive support jobs with a communication focus
- Outstanding writing and verbal communication abilities
- Knowledge of communication tools and software
- Excellent organizational and project management abilities
- Communication techniques that are creative and innovative
- Ability to maintain confidentiality and handle sensitive information Capability to analyze and understand data, multitask, and pay attention to detail
- Ability to solve problems, make decisions, and meet deadlines
