SNV has worked in Ghana since 1992 to help local actors improve their performance to fight poverty and promote good governance. SNV prioritizes agri-foods, energy, and water. Three themes run through these priority intervention areas: gender equality and social inclusion (GESI), mitigation, and adaptation to change. SNV Ghana operates directly and through local partners in sixteen Ghanaian regions, including Accra, Tamale, and Nandom.
Job Description
SNV Country Organizations assign Project Assistants to projects throughout the country.
The sub-national Project Assistant supports project implementation by following SNV and donor-compliant procedures. Project Assistants assess service needs and facilitate delivery. The Project Assistant can help with finance, administration, and technical execution.
Duties and responsibilities:
Office Administration
- Project support involves providing administrative assistance to the project and team.
- Conduct data administration and filing for project papers, and organize and coordinate
- Sundial Project workshops and training.
- Service and process delivery support involves adhering to established project procedures and key processes to meet service needs.
- Ensures consistent service delivery.
Secretarial & Administrative:
- Office visitors’ reception and final screening; Answers phone to screen calls, transfer calls, answering questions, and taking messages to personnel; Use schedules, personnel directories, emergency contacts, etc. to maintain and expand reference information.
- Running the Nandom Project office smoothly with daily administrative support; Maintains and updates the team’s filing system of all hard copies of correspondence and documentation sent and received, registers and files all incoming and outgoing mail, writes minutes, edits letters and reports, and manages the office secretariat.
- Maintaining reception area items (job applications, bulletins, event calendars, etc.) for visitor resource information.
Financial Aid
Managing small cash in the Nandom office.
Operations
- Support the Procurement unit in purchasing and supplying minor office consumables and assuring timely clearance and delivery;
- Managing office stationery and supplies and keeping stock records;
- Coordinating photocopier and office equipment use.
- Arrange lodging and administrative support for SNV seminars and conferences in Tamale and project implementation regions for official visits and missions to the Tamale office.
Qualifications
- Minimum university degree in administration or equivalent;
- At least three years of office management experience, particularly in the INGO sector;
- Communicate well and politely with personnel and partners;
- Excellent IT and typing skills and written and spoken English fluency;
- Look good and professional.
- Manages pressure and conflicting requests and prioritizes tasks to deliver;
- Duty-bound and willing to help when needed.
