POSITION: Service Administrator

Mission

The aftermarket support and customer service team will be in charge of establishing and maintaining profitable relationships with customers on the Company’s behalf, taking personal and complete responsibility for each customer contact and ensuring that all customer requirements are met on time.

Primary Tasks and Responsibilities

The primary tasks and responsibilities are:

  • Use Microsoft Office to create and modify documents. Photocopying, faxing, scanning, mailing, filing, and the mail room
  • Coordinate the administrative components of the service order procedure.
  • Telephone and office reception.
  • Ordering office, personal protective equipment, and remain center supplies;
  • Filing: Create new files for work orders, credits, and other documents as needed.
  • Follow the procedure when issuing purchase orders (for parts and services outside of Atlas Copco);
  • Responsible for timely invoicing of work orders.
  • Ensure proper labor entry on work orders; – Purchase from external suppliers as needed.
  • Responsible for producing customer estimates and failure analysis reports for repair, return, exchange, and fixed-price work orders.
  • Assist with WIP control, including closing work orders.
  • Responsible for tracking Exchange Component Sales/Core Returns.
  • Assist with incoming customer calls as needed; – Provide backup customer service as needed;
  • Assist with the warranty work order procedure and file claims as needed.
  • Update reference papers regularly (Service Training Manual and other references).
  • Maintain customer and machine master data.
  • Loading parts, labor, and expenses needed for work orders;
  • Submitting monthly overtime claims in the proper formats for service personnel.

Competencies, Skills, and Experience

  • Requirements include a bachelor’s degree in logistics, business, trade, or system management, as well as 2–3 years of relevant experience.
  • Strong reporting and data analysis abilities
  • Ability to collaborate with individuals from varied backgrounds.
  • Experience in the mining or heavy equipment industries is strongly appreciated.
  • Excellent communication skills (verbal, written, facilitation, teamwork)
  • Ability to plan, coordinate, and monitor activities
  • Self-motivation to achieve key results
  • Valid driver’s license
  • Strong computer skills (Word, PowerPoint, Excel, Lotus Notes, BPCS, Price Point, AC Connect)
  • French and English language proficiency is required.
  • Demonstrates keen attention to detail and a strong sense of urgency.
  • Possesses essential knowledge, skills, and talents.
