The City of Refuge Ministries Administrator’s paramount duty is to provide administrative support to leadership and employees through various tasks relating to organization and communication.
It is incumbent on the CORM Administrator to manage processes and procedures for retrieving and disseminating information.
RESPONSIBILITIES
GENERAL OFFICE DUTIES
- Manage and update personnel records and documents
- Manage office supplies such as internet, taking inventory and restocking of items
- Maintain employee sign-in book, visitors’ book, Exeat book, letter dispatch book and vehicle logbook.
- Manage maintenance request forms and expense requests from Department Heads.
- Maintains records, documentation, and files, particularly more complex or sensitive files such as employee files.
- Keep records of attends special events.
- Retrieve departmental reports and prepare monthly and end-of-year reports.
- Assist in planning and arranging events and outreaches, including organizing catering when needed.
- Be available to help other departments and at programs when needed.
- Arrange meetings by scheduling meeting times, setting up the meeting space and planning refreshments when needed.
- Help with CORM Sponsorship Program
- Help with CORM Volunteer Program
- Provide administrative support to other departments within the office.
- Create agendas and take meeting notes.
- Manage employee absence request forms and Database.
- Photocopies and file appropriate documents as needed.
- Attend workshops and conferences when requested.
- May take care of website functions and social media profiles.
- Participate in the HR team.
Required profile for job ad : Office Administrator
INFORMATION AND COMMUNICATION
- Facilitate communication lines among employees and between employees and leadership
- Interact with directors daily and carry out their requests.
- Maintain and communicate a master calendar of events and participate in the conducting of meetings, training, seminars, interview and orientations, and other programs assigned.
- Manage communication and inquiries to various government and private offices and individuals
- Assist CORM with fundraising and Public Relations in Ghana.
- Participate in recruitment, orientation, and training programs for employees.
- Deliver SSNIT payments to their office monthly.
- Maintain and update the administrative manual and present for validation
- Provide feedback to supervisors in ways they feel they could do their work more efficiently or ideas they have to better the organization.
Qualification
- Experience level: Less than 2 years
- Educational level: HND
- Spoken language: English
