POSITION: Assistant Finance & Administration Officer

Job Description
Report directly to the facility head and indirectly to the finance manager and procurement and administration manager at the head office. TAMALE duties and responsibilities include accounting and finance.
- Process all spending requests that are approved by the facility head.
- Prepares monthly, quarterly, semi-annual, and annual financial reports and any other reports that may be assigned.
- Coordinates and ensures that expense reports are received, evaluated, tagged correctly, and placed into the accounting system.
- Ensures consistency in the internal control system and reports any lapses to the finance manager.
- Coordinates and secures the availability of money for activity implementation.
- Updates the Fixed Asset Register for facilities and projects on a monthly basis.
- Prepares and keeps cash books up to date for all bank accounts.
- Prepares monthly bank reconciliation statements.
- Assists in the formulation of an annual business plan (BP).
- Prepares annual work plans at or before the beginning of the year and completes the performance appraisal form at the end of the year.
- Manages the facility’s store, which includes monthly reporting, receiving, recording, storing, and issuing goods/drugs/commodities for the facility.
- Ensures that stock records/ledgers are routinely updated with Tally cards, etc.
- Performs and reports on periodic stock counts.
- Checks the consignment of all incoming items.
- Confirm goods arriving by correctly signing and stamping. Goods Received Note
- Keeps a duplicate of the goods received note.
- Administrative and procurement duties
Admin duties:
- Provides secretarial support for the facility and volunteers as needed.
- Ensures that incoming mails are processed and properly dealt with.
- Ensures that outgoing mail is despatched on schedule.
- Files documents and correspondence properly, both manually and electronically.
- Creates and maintains an updated list of office supplies.
- Provides secretarial help during meetings, seminars, training sessions, or workshops.
- Organizes and prepares the budget for all facility meetings as needed.
- Ensures information and communication flow between the site and the head office.
- Supervises implementers and keeps the office environment clean and neat.
- Ensures the appropriate usage of stationery and equipment.
- Enter the client’s details in the computer.
- Responsible for filing client cards following service delivery.
- Responsible for the usage of office vehicles, including completing vehicle procurement forms, fueling, and maintenance.
- Responsible for maintaining the structure and its equipment.
Procurement Duties:
- Responsible for the planning and coordination of all procurement activities in the facility.
- Create a local Suppliers Database as approved in the National Database.
- Serves as secretary to the procurement evaluation committee.
- Develop and implement effective sourcing strategies.
- Examine products acquired to fulfill the required criteria.
- Create an annual purchase strategy for Facility Head approval.
Others
- Performs additional duties as assigned. Requires skills and experience.
Qualifications & Experience
- Higher National Diploma (HND) in Accounting or equivalent. Or a diploma in business studies with an accounting option.
- A minimum of two years of relevant job experience. Proficiency in computer abilities, spreadsheets, accounting software, MS Word, Excel, and PowerPoint is necessary.
- Good working knowledge of Accpac Accounting Software is preferred.

- Requirements include computer proficiency, experience giving technical support to colleagues, and strong interpersonal, communication, and report-writing abilities.
- Must be honest, truthful, and trustworthy.
- High level of responsibility, accuracy, and judgmental abilities
- Requirements for this position include teamwork, the ability to work long hours under pressure, and the ability to operate independently with minimal supervision and attention to detail.
- Lastly, the applicant must live in Tamale or be ready to relocate to Tamale at no expense to the Association.
