POSITION: Executive Assistant

The West Africa Network for Peacebuilding, Ghana (WANEP-Ghana) is a non-profit peacebuilding NGO. It is a civil society institution in Ghana that aims to prevent, resolve, and transform violent conflicts through the collective and coordinated efforts of non-governmental organizations (NGOs), local and national state institutions, and individuals actively engaged in peacebuilding practice in order to avoid duplication of efforts and maximize resources for more effective conflict responses. The group aims to help Ghanaian communities cultivate a culture of non-violence, justice, peace, and social healing that will last.
Essential Functions of an Executive Assistant
- Provide administrative support to the National Network Coordinator—keep and manage his/her diary, compose letters, answer communications, book and arrange travel, transportation, and accommodation, schedule meetings and set up appointments, and other responsibilities that may be assigned by the National Network Coordinator or his/her assign.
- Prepare talking points for presentations and writing reports.
- Conduct research, create presentations, and communicate with the National Network
- Coordinator as needed. Attend meetings and take minutes/notes.
- Manage databases and file systems.
- Assist with general administrative responsibilities.
- Establish and manage a filing system.
- Perform a variety of executive and administrative support activities that are sensitive and private.
- Assist with the development, review, and editing of documentation
- Prepare activity budgets in accordance with the obligations above.
- Work with the finance team to retire advances relating to executive duties.
- Follow the supervisor’s instructions regarding other tasks.
Required Skill or Experience
- Must have a first degree in Business Administration or Management, Development Management, Development or Social Communication, or other comparable subjects of study from a recognized higher school.
- Must have completed national service and have at least one year of relevant experience.
- Demonstrate a thorough understanding of peacebuilding, governance, and development programs.
- Must be able to type at least 30 words per minute.
- Demonstrate good oral and written communication abilities, including the ability to take quick notes and produce reports.
- High proficiency in the use of Internet resources, Microsoft Word, Microsoft Excel, and PowerPoint.
