About the Vibrant Village Foundation

The Vibrant Village Foundation (VVF) is a private organization based in the United States. We give long-term money and help to local non-profit groups and run community programs in Ghana and Kenya. Since 2012, we have been helping with farming, education, water and sanitation, and child safety programs in the Upper West region of Ghana. We are looking for someone with experience to take on the job of Finance and Administrative Officer (FAO).

Jobs and Duties

The person in this job will help the Finance and Administrative Manager keep accurate financial records for the foundation.

Money and Accounting Tasks:

  • Keep good financial records of all money dealings.
  • Help the Finance and Administrative Manager (FAM) enter the right information into the accounting system or software.
  • Help the FAM with staff pay.
  • Get ready and send payments for required reports to the Ghana Revenue Authority and any other necessary organizations.
  • Help pay the service providers and participants during workshops and training sessions.
  • Make sure that expense receipts are correct and can be checked.
  • Keep financial records away from people who shouldn’t see them
  • Make sure to follow all rules and guidelines for managing money carefully.
  • Keep both printed and digital copies of receipts, contracts, and agreements.
  • Create and keep a tidy filing system at all times.
  • Teach staff and partners about the foundation’s rules and steps for managing money.

Administrative Tasks

  • Take care of the small amounts of cash in the office.
  • Keep good records of employees.
  • Work with the Human Resource and Administrative Officer (HRAO) to make sure all office equipment and facilities are working well.
  • Work with HRAO to make sure we follow the established rules and procedures.

Reporting

  • Help FAM make financial reports.
  • Set up and keep a record of small cash expenses in a “Cashbook. “
  • Get petty cash expenses ready and share them with FAM for checking and approval.
  • Help the FAM make reports every six months and take part in staff review meetings.
  • If you think you see any cases of financial wrongdoing or fraud, tell the FAM or Country Director within 24 hours of noticing or suspecting it.
  • Do any other tasks that may be given to you.

Qualifications and Experience Needed

  • Background and experience of the person in the position
  • You need to have a diploma or degree in Accounting, Finance, or Banking. Having a Master’s Degree will be a plus.
  • Familiar with using computers and office software like Word, Excel, QuickBooks, and databases. Also has experience with online management systems.
  • At least 3 years of experience in a similar job with a non-profit organization.
  • Ability to work with people from different ethnic backgrounds and cultures.
  • Must be able to speak and write well in English.

Location: Fielmuo – Upper West Area
