POSITION: Cost & Payables Supervisor 

PRIMARY JOB PURPOSE

The Supervisor of Cost and Payables is tasked with managing accounts payable activities, overseeing cost management, and assisting in financial reporting guaranteeing effective financial operations. This position entails overseeing production expenses, enhancing cost-effectiveness, punctual and precise handling of invoices and reconciliations, and ensuring adherence to company policies and financial regulations.

MAIN RESPONSIBILITIES/DUTIES:

Without restricting the generality of the above, the primary responsibilities are:

• Manages the establishment and registration of vendors/suppliers accounts for Local and Foreign suppliers in the NAV system.
• Manages the prompt handling and validation of invoices for authorization and payment.
• Make sure the Vendors/Suppliers database is current and accurately represents the vendors’ latest information.
• Highlight and request clarification on any suspicious or unclear documents, invoices, and pricing from Vendors.
• Examine all Purchase Orders (POs) for APIs and NPIs in the system to ensure accuracy, compliance, and completeness of transactions – (This includes full and partial receipts of goods and services supported by invoices, goods received notes, waybills, and appropriate exchange rates).
• Maintain a positive working relationship with suppliers, address payment issues, conflicts, and reconciliations.
• Prepare and examine accounts payable reports for correctness and thoroughness.
• Establish and uphold accounts payable policies and procedures to guarantee adherence.
• Observe and evaluate company expenses, encompassing production, materials, labor, and overhead costs.
• Examine cost frameworks and generate reports on cost discrepancies.
• Spot areas for cost reduction and suggest ways to enhance efficiency.
• Keep precise cost accounting records and guarantee data accuracy.
• Prepare and monitor product profitability assessments, create cost reports, and conduct variance analysis.
• Help establish standard costs and refresh authorized databases in both the system and the manual.
• Collaborate closely with diverse teams to improve cost-effectiveness.
• Aid in the training of newly hired cost accounting personnel.
• Help with audits by supplying required documents and clarifications.
• Any additional responsibilities that may be reasonably delegated by your supervisors.

KEY PERFORMANCE GOALS

• Prompt delivery of monthly reconciliation reports
• Quarterly analysis of product profitability, cost reports, and variance assessments.
• Monthly supplier aging report

Minimum Qualifications Required

• Bachelor’s degree in Accounting, Finance, or a similar field

Experience Skills & Qualities Needed: 

• 3-5 years of experience in finance, cost management, or accounts payable
• Background in the manufacturing sector with notable expertise in cost control and accounts payable procedures.
• Acquaintance with ERP platforms (Microsoft Dynamics NAV)
• Expertise in Excel and financial software.
• Skills in analysis and problem resolution.
• Skills in leadership and team management.
• Focus on specifics, honesty, and managing time effectively.
• Forward-thinking attitude centered on enhancing processes.
• Excellent communication and teamwork abilities.
