Job Description

Responsibilities include reporting to the Accounts Manager and collaborating with HODs, managers, and departmental/unit leads.

Job Purpose

The Stores Supervisor will supervise and direct daily activities, schedules, and assignments related to the storage, inventory, and distribution of food, materials, and working tools.

Job Duties and Responsibilities

• Responsible for supervising, coordinating, and engaging in store officers’ activities.
• Oversees the receipt and documentation of arriving items.
• Generates order requests for the purchasing department in collaboration with the other department heads.
• Ensures that all requisitions are approved by an authorized person before the items are issued.
• Oversees and approves the daily internal distribution of items in hotel stores, ensuring that things are allocated according to the First in, First Out (FIFO) concept where applicable.
• Communicates probable shortages or surplus inventory of goods to department heads, ensuring that these variations do not have a detrimental impact on visitor satisfaction, operating budgets, or storage operations.
• Coordinates with the purchasing department to address discrepancies in delivery quality and quantity.
• Monitors costs and quality while continually striving to decrease breakage and waste.
• Monitors maintenance requests for non-functional equipment and any other topics affecting the hotel store’s operation and ensures they are completed in an acceptable timeframe, communicating delays to his supervisor and the department head accountable to resolve the problems.
• Physical inventories and inventory spot checks are carried out by the hotel stores staff in collaboration with the Accounts Manager according to the inventory schedule.
• Assists in reporting the level of all store items, keeping appropriate par levels, and periodically reviewing the par level.
• Assist the cost controller with the monthly inventory for the store.
• Maintains a daily temperature record for the store’s chillers.
• Ensures that all requisitions are approved by an authorized person before the items are issued.
• Performs other related duties as assigned.

• Effective supervision and leadership skills.

• Ability to maintain correct records
• Proficiency with Microsoft Office (Excel/Word) and familiarity with Materials Control
• Systems

Qualifications, Requirements, and Experience

• A minimum of an HND in Purchasing and Supply or a comparable discipline.
• Excellent knowledge and experience with Ghanaian public health norms and regulations, as well as Hazardous Analysis Critical Control Points.
• A fundamental understanding of inventory and cost control procedures.
• Ability to work autonomously, prioritize assignments based on urgency, and work during high-volume, stressful situations.
• Must be adaptable and able to work under pressure in a fast-paced work environment.
• Innovative and open-minded.
• Excellent knowledge and experience with storeroom operations and procedures, as well as the handling of perishable commodities.
• Strong product knowledge of food and beverage, consumables, durables, and equipment needed to run hotel catering operations.
