Job Title: Office Administrative Assistant

Job Description

A long-established and largely regarded Chemical company in Ghana is seeking an educated Office Director to take on the binary responsibility of supporting the Managing Director and the company with an office and executive tasks.

This different and satisfying position will see you furnishing administrative backing to the Executive Management, furnishing board support, and managing the office of over to 20 full-time and over forty casual staff. The successful seeker will be an integral part of the wider platoon, aiding them to operate at an optimum level.

Responsibilities

Your position acts as a conduit to ensure the flawless delivery of services to clients by furnishing executive backing to the directors and other specialized staff. You’ll be responsible for

  • Establishing and maintaining accurate records and lines
  • Liaising with clients and external stakeholders, including communication throughout the procurement and specialized processes
  • Aiding with proffers
  • Supervising and furnishing support to enable effective workflow delivery
  • Responding to correspondence within respectable timeframes
  • Data entry and use of database
  • Accurate and timely processing of invoicing and introductory fiscal operation
  • Sourcing information and setting up new clients
  • Handling functional queries, internal and external, as needed
  • Seeking enhancement to procedures and processes
  • Dealing with general office operation
  • Diary operation and scheduling meetings.
  • Logistics operation, trip, and accommodation.
  • Hail callers to our office in a friendly, professional manner.
  • Manage office amenities, outfits, keep, and conservation.
  • Coordinate and manage IT conditions and conservation.
  • make sure meeting apartments, common apartments, kitchen, and event areas are neatly presented.
  • Help operation staff members with ad hoc duties as needed.
  • Ad hoc administration and data entry tasks as needed.
  • Board and operation support, including organizing meetings, preparing accouterments, taking twinkles.
  • Liaising with product operation and other suppliers.
  • Other executive and design support tasks as needed.

Requirements

  • Besides proven experience in administrative support part, the successful seeker will show.
  • Superior interpersonal chops and the capability to liaise effectively in all situations.
  • Strong time operation chops and the capability to effectively prioritize tasks.
  • Articulate written and verbal communication chops.
  • Exacting attention to detail.
  • A visionary can-do disposition with a track record of demonstrating action.
  • Intermediate to advanced position Microsoft Suite chops.
  • The capability to apply a high position of confidentiality, judgment, and action to all situations.
  • Capacity to handle multiple precedences and balance work to achieve business pretensions.
  • Good communication and donation chops, both verbal and written. Working knowledge of French will be an advantage.
  • A leader, suitable to inspire and motivate individual and platoon performance.
  • Strong deals knowledge and marketable approach to business development.

The position would be on fixed-term contract rolls and the contract would be for 12 months renewable. Grounded on performance, the contract can be further renewed. The payment range will be from GHC to GHC gross per month ( depending on the experience and chops of the person)
