POSITION: Senior Administration Associate 

  • Subsidiary: Genser Energy Ghana Limited (GEGL)
  • Location: Corporate office in Accra (Stanbic Heights, 215 South Liberation Link, Airport).
  • Designation Level: Functional Head

OBJECTIVE: 

The Senior Administration Associate in the HR Department will be responsible for supporting the organization’s administrative activities. This job will be in charge of facilities management, staff travel arrangements, immigration compliance, and overall office administration. This position necessitates a highly organized and aggressive technology and process-focused professional.

Key Responsibilities:

ADMINISTRATION

Facilities Management:

  • Oversee the transfer of facility management data to the company’s ERP system, guaranteeing proper asset monitoring, maintenance scheduling, and facility-related duties.
  • Oversee the efficient operation of office utilities (such as energy, water, and internet) and implement techniques for monitoring and optimizing usage.
  • Lead the negotiation and renewal of office leases, collaborating with external landlords and legal teams to achieve favourable terms.
  • Keep an organized record of all lease agreements, renewals, and expiration dates.
  • Create and implement facility management policies (e.g., pre- and post-inspection forms, charters).
  • Establish and maintain partnerships with external suppliers for office maintenance, repairs, and cleaning services.
  • Coordinate office layout planning, optimize workplaces, and guarantee adherence to safety rules. Oversee space planning for new employees and departmental adjustments.

  • Coordinate all employee travel, including booking flights, hotels, and ground transportation, while adhering to company travel standards.
  • Track and report travel-related expenses, and assist in the creation of departmental travel budgets.
  • Respond to employee travel inquiries and handle any travel-related difficulties swiftly.
  • Immigration Requirements:
  • Oversee employee immigration documents, such as visa applications and work permits, to ensure compliance with applicable rules and regulations
  • Track visa and permit expiration dates to ensure timely renewals and extensions.
  • Assist ex-pats with the relocation and onboarding processes.

Office Administration:

  • Manage office supply inventories by ordering necessary items and maintaining optimal stock levels.
  • Support workplace events and employee engagement efforts by aiding with logistics and planning.

PROCUREMENT

  • Responsible for all Purchase and Service Order Agreements relevant to the scope of work.
  • Ensure that all relevant requests are submitted through the Procurement / Accounting system (Sage X3).
  • Follow up on the release of approved monies.

FINANCE

  • Assist the Department Head in preparing the monthly budget.
  • Create and manage all budget elements, including cost control and expense forecasts.
  • Ensure that the budget aligns with the department’s scheduled activity.

Organizational Development

  • Supervise the team and ensure that allocated projects are completed on time and within budget.
  • Create and implement the essential strategies to promote flexible work practices and team building.
  • Conduct performance reviews and development plans (including training) for subordinate employees.
  • Implement a training and development program for employees in accordance with the organization’s technical and business requirements.
  • Coordinate the rotational schedules of subordinate employees (on and off duty).

QUALIFICATIONS:

  • A bachelor’s degree in Business Administration or Human Resources is required.
  • A master’s degree in management is beneficial.
  • Multicultural experience is required.
  • Proficiency in French is advantageous.

KNOWLEDGE AND EXPERIENCE:

  • A minimum of 8 years experience in facility management, administrative support, and office operations.
  • Proficient with Microsoft Office Suite (Excel, PowerPoint, and Word).
  • Proven expertise with ERP systems, preferably in managing facility data and operations.
  • Strong experience in utility management, lease negotiations, and vendor management.
  • A thorough awareness of employee travel logistics, immigration regulations, and office management.
