ROLE: Sponsorship Systems Administrator

Principal Responsibilities:
Data administration
- Capture child monitoring and participation information on a daily basis in the Horizon Hope application, so that all registered kid information is electronically saved and accessible to stakeholders.
- Use systems and mechanisms to review and verify the correctness and completeness of data and information received from Volunteers and securely stored in the database, ensuring functional Quality control assurance at the Cluster level.
KPI management and Sponsorship
- Ensure proper RC management by monitoring sponsorship systems (RC growths, RC (Annual and Semi-Annual) Monitoring, Reactivations, Drops, Replacements, and so on) and communications items (APR and Greetings Cards, Intro Letters, Sponsor Letters,
- Sponsor Queries, gift notifications (GN), Farewell letters, and so on) for good coordination with Support offices, sponsors, and the GC. Timely transmission of RC
- Deaths (through Horizon Hope application, phone call, and e-mail) while adhering to all rules for improved accountability to sponsors.
- Ensure that all Support Office and sponsor queries are processed in Horizon Hope within the time frame specified.
- Ensure that the processing of RC photos and media is completed in accordance with standards and on time for Support Offices.
- Ensure that all partnership initiatives, audit recommendations, and evaluation activities are carried out on time.
Reporting
- Create, analyze, and distribute periodical Horizon Hope Application reports on the management of the child sponsorship program to all stakeholders.
- Assist in the creation of required reports such as monthly, quarterly, semi-annual, and annual reports.
Security of data and systems;
- In collaboration with the ICT and sponsorship Systems Coordinator, ensure the security of the sponsorship systems, privacy, and the transmission of system data in accordance with the standards and regulations.
- Perform frequent backups of all sponsorship data and electronic files, including child and community material, to ensure that the AP adheres to World Vision IT regulations and that data and sponsorship equipment are available, safely stored, and maintained.
- Performing periodic maintenance, system upgrades, and fundamental IT technical activities such as scanning drives before utilizing them on systems to ensure service reliability and virus-free hard drives.
- Assist in the upgrade of all Horizon Mobile devices in the cluster and ensure the most recent APK version is installed.
- Ensure that RC file management at the Cluster level adheres to standards.
Building Sponsorship Capacity
- Participate in orientation and basic training, as well as communicate updates on Horizon
- Hope processes with staff (as permitted and necessary) and community volunteers, so that they are familiar with modifications and requirements compatible with the system.
- Help instruct Community Volunteers on how to use Horizon Mobile Devices to collect RC data.

- Excellent interpersonal and communication abilities
- Excellent knowledge of WV sponsorship, tools, procedures, and standards
- Computer literacy abilities
- Mind that is analytical and critical
- Capable of interpreting statistics and producing reports.
- Detail-oriented and meticulous
- Excellent knowledge of children’s rights to protection and involvement
- Strong interest in children and their well-being
- Must be a devout Christian who can rise above sectarian differences.
Qualifications:
Experience and Education/Knowledge/Technical Skills
The following skills can be obtained through a combination of formal and self-education, prior experience, and on-the-job training:
- Bachelor’s Degree in Computer Science, Data Management, Statistics, Social Studies,
- Development Studies, or a similar discipline.
- ICT proficiency
- Two years of experience working in a data collecting, analysis, and management environment.
