POSITION: Account Payables Specialist

PATH is a global non-profit organization dedicated to improving health equity. PATH relies on employees to improve health equity. Also, PATH’s Business and Finance Operations section oversees all accounting-related activities, guaranteeing compliance with GAAP, PATH rules and procedures, internal controls, and audit support in 20+ countries. Partnering with human resources, legal, IT, the office of grants and contracts, and program leadership to educate about finance and accounting procedures, investigate how the finance function can support program and other operations groups, and build and optimize finance business processes and systems to meet future needs and demands is common.

To reach our goals, we need an AP Specialist to process payment invoices and pay vendors on time and accurately. Using an ERP and clerical and administrative assistance, the AP Specialist will compile and maintain accounts payable data. The AP Specialist works in US Seattle Headquarters’ Business and Finance Operations Department. This employee will work remotely from the Accounts Payable team. AP Specialists report to AP Supervisors at US Seattle Headquarters.

Responsibilities:

  • Prior to payment issuance, review payment requests, invoices, and other payment documents to ensure accuracy, proper payment support, approval, and coding.
  • Support the timely completion of weekly payment runs.
  • Maintain accurate records and implement monitoring procedures to guarantee that payments are made to vendors on schedule.
  • Investigate and resolve account payable transaction exceptions and variations.
  • Prepare a monthly, quarterly, and annual accounts payable balance sheet reconciliation, as assigned.
  • Collaborate with purchase-order issuing and receiving teams to ensure adequate three-way matching happens prior to issuing payments.
  • Support vendor setup and maintenance in ERP in coordination with finance and procurement personnel in multiple countries.
  • Apply accounts payable business process skills; aid in performing user acceptance testing for changes/updates/enhancements to PATH’s ERP; maintain functionality of bank interface upgrades.
  • Develop, maintain, and apply expert knowledge of all payment-related common business processes and procedures, while providing outstanding customer service.
  • Assist with responding to external statutory and donor audit inquiries.
  • Assist PATH’s country offices with local payment processing when needed.
  • Review and provide input on current written procedures to guarantee the ongoing accuracy and completeness of documented AP processes.
  • Continuously identify functions that are old, inefficient, or no longer necessary; propose automation/improvements/solutions to management.
  • Assist with other accounting department responsibilities, as assigned.

Required Skills and Experience:

  • A minimum of four years of relevant professional experience in an accounts payable function.
  • Associate degree or higher in Accounting/Finance profession or comparable; AP certification is desired.
  • Attention to detail.
  • Effective verbal and written communication abilities, as well as customer service with both internal and external clients.
  • Maths and analytical skills
  • Worked in a high volume, fast-paced, professional setting.
  • Experience with Salesforce and cloud-based ERP systems is advantageous.
  • Proficient with Microsoft Office (Excel, Word, Outlook)
  • Able to prioritize activities, multitask, and fulfill policy-driven deadlines.
  • Must also show commitment to excellence in customer response and service.
