Chance for Childhood Invites Job Applications

ROLE: Administrative and Human Resource Assistant

About the company

Together with our partners, supporters, the children themselves, and the communities where they live, we protect, educate, and make long-lasting changes for every child who is in danger from violence, neglect, or conflict.

We are experts at making sure that all children can get a good education and have safe places to play, learn, and grow. We are a Ghanaian NGO that is part of the UK-based Chance for Childhood family.

Purpose of the role

Chance For Childhood is looking for a person who is dedicated and willing to work hands-on as an Administrative and Human Resource officer. The Admin and HR officer will work under the direction of the Senior Finance and Administration officer to help the team and projects in Ghana with administrative and Human Resources tasks.

Main duties and responsibilities

  • Help with paperwork and getting things done (50%)
  • Help with planning and getting things ready for workshops, events, meetings, and trips.
  • Help look over bills, expense reports, and receipts.
  • Work with IT support to make sure that all computer equipment, such as Internet access, email, an electronic filing and retrieval system, etc., is working.
  • Keep a correct stock of office equipment, furniture, software, and extras
  • Make travel plans and handle administrative problems and questions in a good way, as needed.
  • Set up meetings and appointments
  • Planning meetings and taking detailed minutes
  • Write and distribute letters, emails or correspondence memos.
  • Set up and keep track of hard copies and digital copies of project files and record keeping systems that are in line with how Chance for Childhood works.
  • Keep accurate records of payment receipts and orders for supplies.
  • Help the Senior F&A officer set up systems for keeping track of the project’s budget, spending, approvals, and inventory.
  • Help with human resources (50%)
  • Coordinate with HR support and manage the hiring of new employees, including the administration of benefits, and the exit of project employees who are leaving.
  • Serve as the main point of contact and liaison with project staff on office administrative and HR procedures, as well as with outside vendors and suppliers in Tamale.
  • Help with the HR functions and duties on a day-to-day basis
  • Helping the HQ Human Resources Managers with paperwork and other tasks.

Other Tasks

  • Actively participate in team meetings and teamwork plans, show team spirit, take responsibility for action items, and give feedback as needed.
  • Represent Chance for Childhood at meetings and events outside of the organization when asked.
  • To meet organizational goals, you need to be able to do more than one thing at once, handle competing priorities, and set priorities.
  • Keep up with any changes to the law, regulations, best practices, and industry standards.
  • Do any other tasks that are appropriate for the level of the job, as needed.

Skills or Experience Needed

  • The candidate should have at least an HND in business administration, accounting, Human Resources management, finance, or any other relevant field of study related to the job. For this position, you need at least four years of experience doing the most important things.
  • Work experience in an International Non-Governmental Organization (INGO) or Development Agency
  • Knowledge of tax rules and a particular interest in how INGOs work
  • Needed experience working with people from different cultures.
  • Know how to use Microsoft Office, especially Outlook, Word, and Excel, as well as accounting software.
