Job Description
The WASH-FIN 2 project, financed by USAID and implemented by Tetra Tech International Development (International Development Jobs – Tetra Tech), is currently seeking applications for an Office Manager. This is a full-time post with a projected term of August 2027, headquartered in Accra, Ghana.
Position Description:
Tetra Tech is implementing USAID’s Water, Sanitation, and Hygiene Finance (WASH-FIN 2) program over a five-year period. This worldwide flagship water and sanitation financing initiative intends to raise $375 million by 2027 for climate-resilient water and sanitation services while also strengthening at least 165 sector organizations and service providers. WASH-FIN 2 will raise funding through a combination of corporate investments, government appropriations, and user fees, with implementation centered on addressing bottlenecks in the enabling environment, including policy, legal, and regulatory difficulties. WASH-FIN 2 aims to achieve these goals by:
- Improve governance by increasing public funding for water and sanitation services.
- Improving the performance of water and sanitation service providers by increasing climate resilience, financial, management, and operational efficiency.
- Our services include project planning, transaction consulting, and facilitation for public and private finance, as well as increased coordination and knowledge sharing to promote global learning and partnerships.
The Office Manager will be in charge of the day-to-day operations of the WASH-FIN 2 Accra office, which will include maintaining office management systems, facilitating events and workshops, handling procurement processes, and assisting with human resource management.
Responsibilities:
- Responsible for the day-to-day operation of the WASH-FIN 2 office in Accra;
- Establish and maintain efficient office information management systems, including files, hardware, software, and technical support.
- Support and supervise the facilitation of special events, staff meetings, and seminars as needed.
- Assist the finance department in ensuring up-to-date invoicing from suppliers on service agreements, such as Internet, Security, etc.
- Ensure that project resources, such as vehicles, IT and office equipment and furnishings, and any other physical assets purchased or assigned to the project, are used and maintained efficiently.
- Organize logistical support for flights, travel, conferences, meetings, training, and seminars.
- Supervise the Administrative Assistant and organize the activities of drivers (under transportation service agreements), office cleaning staff, security, and other support personnel as assigned by the Administration and Finance Manager.
- Supervise and maintain accurate hard and soft copy filing of work, leave, and sick records, and generate associated reports as instructed by the Ghana Country Team
- Leader (CTL) and/or Senior Operations Manager for Ghana.
- Develop and maintain office policies and procedures for all staff in collaboration with the Ghana CTL and Senior Operations Manager for Ghana.
- Preparing contracts for Tetra Tech employees, consultants, and short-term assistants, implementing procurement procedures that align with USG and Tetra Tech policies, and performing additional operational duties as directed by the Ghana Team Lead or Operations backstop.
Required Skill or Experience
- A bachelor’s degree or certification in a comparable discipline is required. 5 years of directly related job experience may substitute for a university degree.
- A minimum of five (5) years of experience in a similar job is necessary.
- Experience managing at least two support personnel and building and maintaining effective office information management systems that include files, hardware, software, and administrative support.
- Excellent interpersonal skills, such as patience, diplomacy, ability to listen, and respect for coworkers. Must be able to operate independently and as part of a team. Must also be able to build a supportive working relationship among the entire project team.
- Ghanaians are strongly encouraged to apply for this position, which requires an excellent knowledge of English.
