ROLE TITLE: Premises Management Support
Organizational Settings
The Regional Office for Africa (RAF) is in charge of guiding FAO’s response to regional priorities in food security, agriculture, and rural development by identifying, planning, and implementing FAO priority activities in the region. It assures a multidisciplinary approach to programs, defines priority areas of action for the Organization in the region, and, in partnership with headquarters centers/divisions/offices, develops, promotes, and oversees FAO’s strategy in response to regional objectives.
RAF also advises on the incorporation of regional priorities into the Organization’s Work Programme and Budget, as well as the implementation of authorized regional programmes and projects, evaluates program implementation levels, and brings attention to faults and shortcomings. RAF establishes and maintains relationships with regional institutions, especially Regional Economic Integration Organizations (REIOs). The Regional Office promotes regional policy discourse on food security, agriculture, and rural development issues, enables the formation of regional partnerships, and helps to create capacity and mobilize resources for food security, agriculture, and rural development in the region.
The role is in the RAF’s Administrative Support Unit in Accra, Ghana.
Reporting Lines
The RAF Administrative Officer oversees Premises Management Support, which collaborates with the General Administration Group’s Premises Management Team.
Technical Focus
Premises Management Support handles a variety of basic administrative transactions and office support duties to ensure that the work unit runs smoothly and efficiently.
Tasks and responsibilities
As directed by the Head of the Premises Management Team, the incumbent will
- Oversee the general upkeep and maintenance of the premises, including lighting fixtures, plumbing, and grounds. They will inspect the office daily, log findings, and report on corrective actions. They will also monitor service providers’ work and conduct regular site inspections to ensure conformance.
- Keep a log of repairs and maintenance;
- Assist with moving and arranging office furniture and equipment as needed;
- Verify that service providers’ invoices are accurate and match the order specifications and amounts.
- Collect monthly bills from premises service providers (e.g., electricians, plumbers) and submit them for payment.
- Draft task-related communication and submit it to the supervisor for review.
- Monitor and provide regular updates on the RAF and Ghana Office Beautification Project.
- Monitor project progress for both RAF and Ghana offices and convey any issues or concerns to management. Perform additional activities as needed.
- Candidates will be assessed against the following criteria:
Minimum Requirements
- Secondary school education. A university degree will be advantageous.
- 5 years of increasingly responsible job experience in administration, accounting, and inventory management.
- English proficiency is required.
- Must be a Ghanaian national or have a valid work permit.
