SOS Children’s Villages GHANA is a child welfare organization that offers consistent Family-Like Care (FLC) to children in need. We also provide social services to at-risk families through our Family Strengthening Projects. We currently operate from four locations: Tema, Asiakwa, Kumasi, and Tamale, with the National Office in Accra. Applications are solicited from adequately qualified and enthusiastic individuals for appointment as:

  • POSITION: Programme Administrative Assistant
  • Duty Post: Asokore Mampong, Kumasi
  • Purpose: To assist in delivering effective and timely administrative, organizational, logistical, and management support services to the Programme Director and Programme Office at the Location.

Qualification and Experience

The ideal applicant should have:

  • First Degree in Business Administration (Communications/Management) or Social Sciences with two years of experience in a similar role.
  • Computer literacy (Word, Excel, PowerPoint, and Access)
  • Ability to take initiative and operate under pressure with minimal supervision.
  • Effective oral and written communication skills
  • Good interpersonal relationships.
  • Should be patient, courteous, firm, tactful, well-organized, and genuinely concerned in giving excellent customer service.
  • Should have a solid understanding of office organisation, secretarial and administrative procedures.
  • Have excellent cultural understanding and the ability to work with people from various cultural backgrounds.
  • Be a team player with good collaboration abilities and the ability to relate to children, youth, and coworkers at all levels.

Key Responsibilities

  • Responsible for the successful and efficient operation of the front desk of the Programme Office.
  • Manage and maintain the Programme Director’s diary.
  • Schedule monthly diary meetings with the Programme Director to discuss impending engagements, invites, and other requirements.
  • Responsible for managing communications, logging incoming and outgoing letters to and from the Programme Office, National Office, and all other program locations.
  • Create and manage an effective system for storing and retrieving files and documents.
  • Information is disseminated to staff in the Programme office and other units at the location.
  • Draft statements and help prepare papers for the Program Director.
  • Maintain a follow-up procedure on letters and reports needing actions within the stated timeframes, and interact with the respective Heads of Projects to ensure timely submission of responses and reports to the Programme Director.
  • Ensure a consistent flow of information between the Location, National Office, and all other Programme Locations.
  • Respond to funders, sponsors, and visitors who visit the Programme Office by answering questions.
  • Ensure that the Programme Office’s notice board is managed and used effectively.
  • Arrange and record minutes for general meetings held at the Programme Location Office.
  • Responsible for photocopying and binding papers at the Programme Office.
  • Performs any other duties assigned by the supervisor.
