POSITION: Admin & Project Co-Ordinator

Purpose of the role:
We are looking for an active, self-starting, professional, and appropriately qualified individual for the post of Admin and Project Co-Ordinator. This person will be in charge of specific administrative chores for their business unit. As a member of our support team, you will work with numerous team members, leaders, and stakeholders to ensure that support runs smoothly and efficiently.
Our ideal applicant possesses a wide range of applicable abilities, including excellent computer proficiency with office productivity suites and meticulous attention to detail when doing data entry jobs. In this profession, you may have to manage many activities at the same time, which requires time management, multitasking, and organizational skills. Prior administrative experience is required, as is a complete understanding of the WSP’s working methods and service offerings.
RESPONSIBILITIES
- Work closely with the various Business Unit Heads and teams to supervise and address daily administrative needs.
- Responsible for enforcing company regulations and procedures throughout the office.
- Proactively recommend and execute changes to improve business efficiency.
- Collaborate with several departments to boost performance and job efficiency.
- Assist with data input, reporting, analytics, and distribution.
- Assist with ISO quality assurance, audits, and the WSP Way of Working.
- Assist with sourcing quotations, supplier registration, purchase order generation, GRN compilation and management, and timely payment of all service providers.
- General help and office chores, such as training, scheduling, and non-specialized jobs.
- Multitask and reprioritize tasks as needed to meet deadlines.
- Assist with all specific internal operating or enhancement projects.
- Responding to any correspondence from employees and other stakeholders.
- Assist with corporation and individual membership registrations and payments.
- Organise and arrange meetings.
- Manage tasks and queries on behalf of the Business Unit Head in a timely manner, with the ability to set priorities based on an understanding of the business and strategy.
- Collaborate with relevant internal stakeholders and teams to gather marketing materials, branded items, and presentations, ensuring that the output is of high quality and consistent with WSP’s standards and guidelines.
- Assist with WSP-branded products for staff, including distribution controls.
- WSP templates (Excel, PowerPoint, and Microsoft Word) Typing, editing, formatting, assembling, printing, and binding
- ERP Systems: Prospect Stage 1: BWO Capturing and reporting on Directors’ Expense Claims
- Public Participation Support: Site Notices and Advertisements
- RBMS Support and Equipment Register Maintenance
- General office and administration support, including health and safety, facilities, and fleet coordination.
- Project Coordination Support: Project Setup, Project Plan and Task Schedules (WBS), Cost Budgeting and Tracking, Procurement Administration, and Project Documentation.
Management Qualifications:
- Relevant University Degree or Diploma in Business Administration
- Relevant administrative qualifications
- Excellent computer literacy – accuracy is needed (MS Office: Excel, Word, PowerPoint, Outlook, Teams, Projects, Adobe Professional)
- At least 5 years of experience as an administrative coordinator, administration assistant, or in a related role.
- A basic understanding of project management principles would be useful.
- Valid driver’s license.

- Proficient in data entry, analysis, and attention to detail, as well as time management and organization.
- Takes ownership and accountability for delivering specified tasks within deadlines.
- Be able to prioritise, multitask, and work under pressure.
- Excellent interpersonal skills.
- Requirements for this position include strong leadership and strategic thinking, as well as the ability to work autonomously, prioritize, and manage multiple tasks simultaneously.
- Act as part of the team and always assist personnel and supervisors in achieving common goals.
- Excellent administrative and typing skills.
- Excellent communication skills—high standard of verbal and written English (spelling, grammar, and punctuation)
- Capable of multitasking while maintaining a positive attitude and drive
- Capability to work well in a high-pressure, deadline-driven setting
