Job Description
- Job Title: Volunteer Coordinator
- Reports to: Country Director; Location: Accra, Ghana
- Employment contract: two years. Contract is renewable.
- Deadline for submitting applications: Friday, March 29, 2024, at 5 pm.
- Net salary: GHS 3,500.
Job Summary
- Plan, direct, and coordinate all project-related activities for Projects Abroad in Ghana.
- The position requires regular, timely, and successful communication with volunteers and abroad offices.
- The primary goal of this position is to manage the assigned project area, which includes ensuring that volunteers are appropriately matched with placements, that volunteer activities are clearly defined, and that volunteers understand their roles and responsibilities at placements.
- Our objective is to help crucial areas and foster cultural interchange, benefiting both volunteers and the communities where they work. The position is hectic and physically demanding, therefore you should be prepared to work flexible hours and be willing to travel within and outside of Ghana as needed.
Duties and responsibilities
Coordination and Implementation
- Ensure airport pickups for volunteers, create a welcoming and secure environment for them, and organize and facilitate volunteer orientation.
- Ensure that placements are informed of the volunteer’s arrival.
- Ensure that the introduction to the project is beneficial during the Induction.
- Maintain effective communication with the headquarters.
- Manage all projects and ensuring they are completed efficiently and successfully.
- Ensure that volunteer issues and complaints are addressed efficiently.
- Create and implement new projects for volunteers.
- Build partnerships with work placements and projects for prospective volunteers.
- Organize and give volunteers with resources based on their placement.
- Coordinate immigration extensions where necessary.
- Organize and coordinate language classes (Twi) for volunteers.
- Facilitate visits to placements and host families for international projects. Abroad staff coordinates partnership events.
- We visit volunteers regularly and update their extensive notes on our internet platforms within 24 hours.
Administration
- Develop measures to guarantee that placement activities are beneficial to volunteers.
- Assist with recruiting new host families.
- Ensure that correct and up-to-date information about projects is provided on our online platform, including photos.
- Ensure that the timetable for each volunteer is completed and filed within the first week of arrival.
- Projects are frequently monitored and evaluated to guarantee program quality and satisfaction (volunteer and placement).
- Manage the monthly budget for project-related activities.
- Be available 24/7, including weekends and holidays.
- Conduct monthly assessments of each placement to ensure it is appropriate for our volunteers. When necessary, you will be needed to form partnerships with new postings throughout the country.
- Maintain open and constructive contact with placement coordinators, sharing your knowledge, successes, and areas for development.
- Every month, you and the Country Director will be responsible for planning and managing the project’s budget.
- Ensure complaints are handled professionally and resolved appropriately.
- Any other tasks allocated to you by the Country Director.
Location: 80% outdoors, 20% indoors.
Environmental Conditions: This role will primarily take place in outdoor workspaces, including local communities, schools, hospitals, and other sites.
Required Skill or Experience
- Bachelor’s Degree (B.Sc.) or equivalent in the Social Sciences (Psychology, Social Work, Sociology) or any other comparable discipline with at least three years of experience
- Requirements: Bachelor of Science Degree (B.Sc.) or equivalent in Community Development, Cultural Affairs, Social Development, or similar discipline, with at least 3 years of experience.
- The ability to create and implement operational plans.
- Proven ability to develop and implement programs for a culturally diverse population, as well as community interventions and collaboration building among stakeholders at all levels.
- Experience with project development and management. Social Work or Public Health is a plus.
- Proficient at using MS Office and internet-based platforms.
