POSITION: HR Services Specialist

  • Minimum Education: A Bachelor’s degree in Human Resources, Finance, Business Administration, or a similar field.
  • Minimum Work Experience: At least 2 years as an HR Services Specialist or Data Analyst.

Job Summary:

Nestlé is searching for an HR Services Specialist for the Integrated Business Services office in Accra, Ghana. This role involves providing local HR services, ensuring timely and accurate support, and serving as the go-to person for administrative tasks for HR business partners, managers, and employees.

Your Responsibilities:

Support for HR Operations: 

  • Tasked with HR analytics, involving data analysis and reporting to aid HR decision-making processes.
  • Effectively oversee parts of the onboarding procedure, encompassing managing communications, logistics, and essential preparations like recruiting in SAP, establishing workstations, and phones, and developing employee profiles.
  • Successfully manage employee departures, guaranteeing a seamless transition and compliance with all required protocols.
  • Assist the Transfer and Relocation Team in facilitating the process for expatriates and mission assignees to guarantee a smooth transition to/from IBS Accra, such as Global Mobility initiation, Work permits, Housing, IT Logistics, etc.

Payroll:

  • Justify the Payroll Audit File for approval by the HR Manager and Controller within the SLAs and assist in preparing the Bank transfer file for payment.
  • Arrange manual transfers for outside employees such as interns.
  • Tasked with the precise upkeep of HR Payroll Data in SAP, ensuring that the information in SAP aligns consistently with Employees’ records at all times for the site. Submit requests for alterations in Payments/Deductions that impact Payroll, such as. Employ, Relocate, Advance, Terminate Employment.
  • Acts as the point of contact for all inquiries regarding pensions fund administration at Integrated Business Services Accra.

Compliance:

  • Accountable for ensuring adherence to working conditions investigations and reporting at the center, such as 12 hours daily, 60 hours weekly, and 6+1.
  • Acts as the HR representative for the Internal Audit Team and guarantees the updating of HR Process Descriptions, SOPs, monitoring of HR KPIs, and following up to ensure that any identified gaps are addressed within the specified timelines.
  • Keep precise records of all leave categories, such as annual, parental, and sick leave, to ensure effective absence management.
  • Tasked with generating operational reports regarding overtime, leave, long service, and loans.
  • Guarantee daily preparedness for all HR Audits, including Care Audit and others.

Administration:

  • Submit webforms for required modifications in employee records, guaranteeing precision and promptness.
  • Handle employee hospital/medical concerns, including the initiation and termination of employees’ Apex Health Membership.
  • Assist line managers and employees with the use of Success Factors, guaranteeing efficient use of the system.
  • Serve as a support for the HR Business Partner in assessments, regular management meetings, and additional pertinent tasks.
  • Quickly organize all pertinent documents in employee files, such as letters, legal papers, etc., while ensuring proper care and storage of files.
  • Organize and take part in monthly evaluations with the HR Business Services team to evaluate the effects of services provided.
  • Assist in organizing HR events and physical activities at the center, such as End of Year activities.
  • Facilitate KRONOS training and optimal use among stakeholders along with efficient management.
