What are you going to do?
Bixal is looking for an Accountant to join our team and support the USAID/West Africa Collaborative Regional Evidence-Based Adaptation for Transformative Economic Solutions (CREATES) activity.
The Accountant will report directly to the Chief of Party (COP) and is in charge of managing accounts payable, payroll processing, and ensuring compliance with Ghanaian laws, USAID, and Bixal rules while keeping accurate financial records. They will also manage financial reconciliation, VAT refunds, and audit support, collaborating closely with Bixal’s HO accounting and finance team, the CREATES Country Office Operations Manager, and the Operations Assistant.
Location:
This position is located in Accra, Ghana, and will be held on-site at Bixal’s CREATES Country Office in Labone. To be considered for this employment, you must currently be legally allowed to work in Ghana for any employer.
Responsibilities
Accounts Payable
- Manage accounts payable workflow with Quickbooks.
- Manage the expenditure reimbursement workflow with Quickbooks and Excel.
- Examine all accounts payable bills and expenditure reports for accurate coding, cost centers, approvals, and adequate backup documentation.
- Prepare accounts payable aging and send payments to the bank.
- Ensure that bills are paid on time and accurately while following departmental protocols.
- Ensure that all payments comply with Ghana rules, Bixal, and USAID policies.
- Takes action to remedy problems/issues that commonly occur in the accounts payable function.
Financial Reporting
- Participate in the month-end closure process by examining and reconciling specific general ledger accounts.
- Prepare a monthly bank reconciliation statement.
- Prepare monthly finance requests to Bixal Home Office, in cooperation with the Chief of Party and Operations Manager.
- Create monthly prepaid expense entries.
- Manage the VAT refund process under the USAID guidelines.
- Manage the office’s petty cash and monthly reconciliation.
Financial Tracking and Budgeting
- Work closely with the Country Office’s Operations Manager, Operations Assistant, and the Home Office’s Accounting team to ensure transactions are documented per the contract budget.
- Compile information for the home office financial assessment as needed.
Payroll
- Manage the payroll for Bixal Solutions, Inc. in Ghana.
- Monitor timesheet submissions to ensure timely payroll processing.
- Export data from the timekeeping system and import it into the payroll program.
- Reconcile payroll payments with labor costs estimated in the accounting system.
- Reconcile benefit deductions and address any discrepancies between employee deductions and invoice payments.
- Process garnishment calculations and compliance.
- Deposit your PF, CIT, SST, and taxes with the appropriate authorities.
- Verify taxes monthly using the online E-TDS system.
- Track rates, salaries, perks and deductions, new hire information, and all other employee-related details.
- Maintain a database of correct payroll records for staff and consultants, including any necessary backup files required to comply with Bixal, GoG, and USAID rules and regulations.
- Respond to team members’ inquiries regarding timesheets, benefit deductions, and other payroll-related issues.
- Review and process proper year-end reports, such as employee tax paperwork.
Record Management
- Maintain an accurate accounting filing system.
- Support audit processes as needed.
Other
- Perform any other duties as assigned by your supervisor and team members.
Qualifications
- Bachelor’s degree in finance, accounting, business administration, or another similar discipline.
- At least three years of experience in financial and accounting positions, especially with an international donor-funded organization.
- Prior experience with USAID-funded programs preferred
- Proficient in all standard Microsoft Office products, including Excel and Word.
- Experience with accounting software systems, especially Quickbooks.
- demonstrated financial management, accounting, planning, and communication abilities.
- Demonstrated proficiency in written and oral communication, interpersonal skills, and staff training/mentoring experience.
- Demonstrated problem-solving, analytical ability, and good judgment.
- Be proactive, with great prioritization skills and the capacity to meet deadlines under pressure.
- Ability to work tactfully in a diverse, multicultural context.
- Written and spoken. Fluency in English is necessary.
