Position: DIRECTOR OF FINANCE AND OPERATIONS

Company Profile

Total Family Health Organisation (TFHO) is an indigenous Ghanaian social marketing company that was officially registered under Ghanaian legislation on February 1, 2017. We seek to enhance the health of Ghanaians by implementing creative evidence-based interventions that expand access to and use of health products and services in a measurable and meaningful way.

Our primary intervention areas include family planning and reproductive health, maternal, newborn, and child health (RMNCH), communicable and non-communicable illnesses, water sanitation and hygiene (WASH), nutrition, and malaria. We use our extensive knowledge and skills in Social and Behaviour Change Communication (SBCC) and social marketing to encourage positive social and behavioural change in individuals and communities.

Job Summary

To oversee the implementation of effective and efficient financial management systems and operational processes to achieve Total Family Health Organization’s growth and profitability.

Job Specification

Leadership

  • Align team members around the company’s mission, values, and common goals, and offer coaching and mentoring to help them meet important performance benchmarks.
  • Lead by demonstrating the company’s values and serving as a culture ambassador, inspiring team members to do the same and holding them accountable if they don’t.

Finance Management

  • Analyze and present financial reports accurately and timely; communicate monthly and annual financial statements; compile financial reporting materials for all donor segments; and manage all financial, project, and grant accounting.
  • Manage organizational financial flow and forecasting.
  • Maintain systems for monitoring and managing program budgets, including financial and contractual data.
  • Provide analysis to the Executive Director, Board, and contributors as needed. To guarantee efficient and sound project management, do routine financial analyses of program expenses, document and monitor overall performance, analyze trends, and identify gaps.
  • Oversee the creation of any proposed budgets.
  • Monitor annual budget revisions as they occur.
  • Oversee the project’s monthly budget monitoring reports, identifying exceptions that require management action.
  • Update and apply all applicable business policies and accounting processes.
  • Effectively explain and deliver crucial financial information to the Board of Directors.
  • Lead the TFHO annual budget planning process in collaboration with the Executive Director; administer and analyze all financial plans and budgets; track progress and modifications; and keep SMT informed about the organization’s financial position.

Operations Management

  • Maintain strong internal control systems.
  • Supervise financial, procurement, and warehousing personnel.
  • Ensure proper segregation of duties in all procurement and payment activities, from initial to final payment and paperwork.
  • Oversee the procurement of goods and services in compliance with TFHO policies.
  • Oversee warehouse tasks and ensure that they adhere to Goods Distribution Practices.
  • Implementing and maintaining warehouse management systems to maximize space and efficiency.
  • Review and approve purchase orders, verifying that proper procurement processes and procedures have been followed in accordance with TFHO requirements.
  • Manage grant and contract administration functions.

Other responsibilities

  • Any additional official obligations as delegated to you by the Executive Director or the Board.

Required Skill or Experience

  • Potential candidates must have the following experience and professional qualifications.
  • Professionally certified with ACCA or ICA.
  • Bachelor’s/master’s degree in business administration, finance, accounting, or a related field.
  • A minimum of ten (10) years of experience in senior management positions in finance or accounting.

KNOWLEDGE

  • Strong knowledge of IFRS, USG financial reporting, and compliance needs. USAID experience is strongly desirable.
  • Knowledge of the TFHO and its values is vital.
  • Knowing the Companies Act of 2019 will be advantageous.

SKILLS

  • Financial Acumen – A thorough understanding of corporate finance, accounting principles, and financial analysis.
  • Leadership and Management – Proven ability to manage teams in finance, procurement, and warehousing operations.
  • Communication – The ability to effectively interact with other staff members while also representing TFHO to the public. Possesses great negotiation and conflict resolution skills.
  • Policy Design and Execution: The ability to create and implement financial systems, plans, and policies.
  • Organization and Time Management: The ability to prioritize tasks and delegate them when necessary.
  • Attention to Detail: This profession necessitates being meticulous about details and executing things thoroughly.
  • Analytical and Problem-Solving: the role entails analyzing numbers and taking strategic steps to decrease risks and expenses while driving employee value.
  • Microsoft 365 Suite (Word, Excel, Outlook, Planner, PowerPoint, Teams, OneDrive, and SharePoint).
  • Strategic thinking entails the ability to connect financial and operational plans with the organization’s long-term objectives.
  • Compliance and Risk Management entails adhering to financial regulations and mitigating operational hazards.
  • Excellent Interpersonal Relationships: The function necessitates developing and sustaining positive relationships at all levels of the organization.
  • Information Gathering and Monitoring: Data collection is required to make informed judgments in this profession.
  • Adaptability is the ability to anticipate and adjust quickly to changing dynamics in local and worldwide settings.
