POSITION: HR Coordinator

Role Summary
TBI’s Operations Division supports and facilitates the Institute’s mission delivery. We are made up of Legal Operations, Finance Operations, Digital Operations, Security, Technical and Resilience Operations, and People Operations Teams.
The Division creates and implements policies and processes that guide our working practices, reflect our values, and are in line with our strategic objectives. We guarantee that our organizational capabilities prepare us to handle current and future problems, and we collaborate closely with all elements of the Institute to ensure that its goals are realized.
We are looking for an HR Coordinator to assist our colleagues in countries throughout West and Central Africa.
The post will report to the People Business Partner for West and Central Africa.
This is a significant post that requires strong collaboration with the Regional Director and Country Directors, as well as key People Operations colleagues in the region, to support the delivery of the Institute’s personnel strategy, contribute to the Institute’s growth, and provide day-to-day team support.
We are looking for a talented applicant who has extensive HR expertise in worldwide, complicated, and fast-paced enterprises.
Key Responsibilities
The HR Coordinator will handle end-to-end personnel matters with a primary focus on the following:
- Supporting HR Business Partners with cross-institutional initiatives such as wellbeing and performance management.
- Proactive management of all HR processes, including new hires, contract renewals, leavers, promotions, secondments, references, probation reviews, parental leave, and flexible working requests.
- Offer competent and effective administrative services from the beginning to the end of the employee’s lifetime.
- Responsible for the data integrity of information stored in our people management system and ensuring that it is constantly up-to-date.
- Support for the Institute’s annual and occasional audit requests.
- Supplier interaction and administration: handling reports and billing (for example, OH, EAP, LinkedIn)
- Maintaining and co-creating material for our Learning & Development platform (LinkedIn Learning).
- Support HR Business Partners with official meetings for various Employee Relations cases (e.g., disciplinary and grievances).
- Creating scheduled and ad-hoc HR reports with our people management system
- Coordinating our onboarding process (e.g., planning inductions and administering our ‘buddy’ program).
- Lead our people management system’s data administration, including data maintenance, reporting, and user configuration.
- Assisting with the monthly payroll operations.
- Supporting, and eventually leading on, HR projects and new initiatives
Person Specification
- Strong organizational and time management abilities, and expertise managing and prioritizing workload.
- Able to manage conflicting requests and prioritize properly.
- Can show care and respect for confidentiality while dealing with sensitive information or personal problems.
- Understanding of West and Central African employment legislation and the function of a modern person. Team function
- Experience in administration or record management with a willingness to get it properly.
- Familiarity with Microsoft programs and intermediate proficiency in the MS Office suite.
- Some knowledge of international employment legislation is advantageous.
- Complete awareness of HR functions and best practices.
- Excellent written and verbal communication abilities.
- Having a degree in human resources or a relevant business sector is useful.
- Fluency in French is an extra benefit.
