POSITION: Executive Assistant

Job Description

Sandvik Mining and Rock Solutions, a global leader in mining equipment and solutions, is looking for a dedicated Personal Assistant to provide crucial administrative support to our executive team. As a detail-oriented professional, you will increase the Vice President’s efficiency, manage travel logistics, plan events, and improve overall office operations.

Responsibilities:

  • Schedule Management: Coordinate the Vice President’s and management team’s schedules.
  • Travel Coordination: Plan local and international trips while sticking to business rules.
  • Front Desk Supervision: Oversee the Accra office’s front desk and facilities.
  • Event Planning: Coordinate business events and functions.
  • Communication Hub: Serve as a bridge between the Vice President, internal teams, and external stakeholders.
  • Meeting Organization: Create agendas and invitations, record minutes, and ensure that meetings are well-organized.
  • Document Management: Document management includes preparing, proofreading, and managing documents and presentations.
  • Office Supplies and Equipment: Responsible for maintenance and coordination.
  • Fleet Management: Manage drivers and the company’s light vehicle fleet.
  • Confidentiality: Handle sensitive information discreetly.

Qualifications:

  • Bachelor’s degree in business administration or a related subject.
  • A minimum of five (5) years experience in a similar capacity.

Skills and Qualifications:

  • Management Proficiency: Comprehensive knowledge of administration and management.
  • Business Acumen: Business acumen is defined as a strong business sense combined with an emphasis on environmental, health, and safety.
  • Communication Skills: Excellent communication skills, both vocal and written.
  • Technological Proficiency: Expertise in Microsoft Office Suite and related software.
  • Project Support: Assist with project tracking and reporting.
  • Multitasking: Prioritize tasks effectively.
  • Professionalism: Maintain confidentiality and professionalism.
  • Problem-solving: Anticipate and adapt to shifting priorities.
  • Interpersonal Skills: Establish relationships with stakeholders at every level.
