Job Description
Reports to Finance Manager Job Summary
The Procurement Officer helps the procurement process by procuring commodities, services, and materials for the organization. The job entails processing purchase orders, maintaining vendor relationships, ensuring procurement policy compliance, and assisting with inventory and logistics management to ensure product and service delivery on time. The Procurement Officer will collaborate with the senior procurement team and other departments to ensure efficient and cost-effective procurement methods.
Key Responsibilities
Procurement Assistance:
- Help find and evaluate suppliers for various products and services
- Complete purchase orders in compliance with corporate policies and procedures.
- Conduct market research to find suitable suppliers, then negotiate prices, terms, and delivery schedules.
- Ensure that supplies, equipment, and services are procured on promptly and at a reasonable cost.
Vendor Management:
- Strengthen ties with current suppliers and seek out new ones as necessary.
- Assist in controlling vendor performance by assuring adherence to agreed-upon terms, quality standards, and delivery schedules.Maintain proper paperwork and record-keeping for all vendor contracts, agreements, and communications.
Inventory and Stock Management:
- Support inventory management by tracking orders and stock levels.
- Assist with anticipating procurement needs and coordinating with relevant departments to ensure adequate inventory levels.
- Monitor product quality and make sure all deliveries satisfy standards.
Compliance and Documentation:
- Ensure compliance with procurement policies, processes, and regulations.
- Prepare and maintain procurement documentation, such as purchase orders, contracts, and reports.
- Ensure that all procurement transactions are logged in the procurement system.
Reporting and Analysis:
- Help prepare reports on procurement activity and cost analysis.
- Track procurement performance data and help to improve processes.
- Assist the senior procurement team with cost-cutting measures and process improvements.
Cross-functional Collaboration:
- Collaborate with internal teams, including finance, logistics, and operations, to ensure efficient procurement procedures.
- Help the senior procurement team handle urgent procurement requests and resolve supply chain difficulties.
Required Skill or Experience
Qualifications
- Requirements include a bachelor’s degree in Business Administration (Accounting or Procurement).
- Experience: At least 3 years of procurement administration experience with an NGO is preferred.

Skills:
- Strong organization and multitasking skills.
- Effective communication and negotiating skills.
- A basic understanding of procurement and supply chain processes.
- Proficient with Microsoft Office (Excel, Word, PowerPoint) and procurement software.
- Ability to operate effectively in a team and under pressure.
- Attention to detail and precision.

- Ability to keep confidentiality and professionalism.
- Proactive approach and eagerness to learn and grow in the role.
Working Conditions:
- Standard business hours are 8:00 am to 5:00 pm.
- It may be necessary to travel on occasion for vendor meetings or site visits.
- Office-based, with occasional remote work as needed.
